Job description:
The Administrative Assistant plays a crucial role in ensuring the efficient management of all office-related tasks necessary for maintaining seamless communication between the plant and the Corporate Office.
Essential Duties/Responsibilities
This job description does not limit management’s authority to assign or reassign duties and responsibilities at any time.
- Answer incoming phone calls and take messages as needed.
- Assist in composing correspondence, as well as faxing and copying documents.
- Input daily receipts for incoming raw materials into both Excel and the AS400 system.
- Prepare and print daily and weekly reports for the plant, including grease routing, raw materials, fleet, and sales.
- Process all accounts payable, set up vendor accounts, and address A/P inquiries.
- Manage the distribution of all incoming mail and oversee outgoing mail.
- Maintain the sign-in sheet and monitor office traffic.
- Demonstrated proficiency with MS Office and Google Docs is required.
- Provide outstanding customer service.
- Perform all other duties as assigned by management.
Minimum Qualifications
- High school diploma or GED.
- Proven experience with Microsoft Office, specifically Word and Excel.
Preferred Qualifications
- Associate’s Degree.
- Prior experience in an office setting; familiarity with fax machines, copiers, printers, projectors, and scanners.
- Proficient typing skills and comfort with computer usage.
- Strong verbal and written communication skills.
- Highly organized with exceptional time management abilities.
- Excellent mathematical skills.
- Capability to manage multiple tasks simultaneously.
Physical Demands
- The position frequently requires walking, standing, sitting, climbing, balancing, stooping, bending, and kneeling.
- Regularly lifts items weighing up to 10 lbs.
- Involves prolonged periods of sitting at a desk in front of a computer screen.
- Regular manual reaching with hands and arms is required.
Work Environment
