Job description:
The Sales Coordinator plays a pivotal role in supporting the Director of Sales, Sales Manager, and Catering Manager in reaching their sales objectives through comprehensive assistance, maintaining customer satisfaction, and managing administrative tasks.

Key Responsibilities:

Sales Support:
– Prepare and distribute sales materials, presentations, proposals, contracts, and promotional materials.
– Monitor and disseminate sales leads from external sources (such as Sales Force and Meeting Broker) and facilitate follow-ups.
– Conduct hotel site inspections, welcome clients, and provide support during client meetings as required.
– Assist in creating Banquet Event Orders (BEOs) and managing banquet billing to enhance catering services.
– Compile weekly, monthly, and annual reports related to sales, catering, and meeting services, and support month-end reporting as necessary.

Customer Relationship Management:
– Act as a primary point of contact for clients and prospects, addressing inquiries, tracking customer feedback, and ensuring a smooth transition to the sales team.
– Foster retention and satisfaction of current clients by maintaining communication, following up on leads, and delivering exceptional service.
– Support the tracking and analysis of customer feedback to inform service enhancements.

Administrative Duties:
– Schedule appointments, meetings, and events for the Director of Sales and Sales Manager, optimizing their time management.
– Manage incoming communications, including phone calls and emails, and direct inquiries to the appropriate personnel.
– Maintain organized filing systems for contracts, reports, sales databases, and client files, ensuring accuracy and currency of all records.
