Day Hours:
Trinity Detroit: Monday, Tuesday, Wednesday, Friday 8:30 AM – 5:00 PM; Thursday 11:30 AM – 8:00 PM; SAY Clinic: Monday – Friday 8:30 AM – 5:00 PM

General Summary:
The ideal candidate will perform a variety of routine clerical duties, including light typing, completing standard forms, maintaining filing systems, routing information, answering telephones, and handling incoming mail. This role may also involve greeting and directing visitors.

Primary Duties and Responsibilities:

  • Utilize the electronic medical records system (EPIC) to coordinate patient visits.
  • Prepare and assemble various standard forms, charts, and records as needed; contact other departments and sources to acquire necessary information, and identify missing information.
  • Engage in light typing and/or word processing of forms, reports, and documentation.
  • Sort, classify, and file materials to ensure that information is current and easily accessible; knowledge of both manual and computerized filing systems is essential.
  • Process requests for the release of information, including locating, ordering, and retrieving requested data while maintaining logs of work activities.
  • Address routine inquiries from departmental personnel regarding file status and location; serve as a liaison for information requests from other departments.
  • Manage telephone calls, routing them appropriately, and processing both incoming and outgoing mail.
  • Welcome visitors, patients, and employees, ensuring amenities are available, and direct them to their destinations while answering general questions.
  • Schedule appointments for patients, gather necessary information, and complete registration or processing tasks as required.
  • Order and maintain office and medical supplies, ensuring that workspaces and visitor areas are clean and organized.
  • Assist in maintaining departmental databases for quality assurance and statistical reporting, including data entry and report generation.
  • Carry out general clerical duties such as copying, collating, assembling packets, and scheduling meetings.
  • Foster positive relationships and teamwork within the department, contributing to conflict resolution in a constructive manner.
  • Uphold the confidentiality of all patient and organizational information, discussing sensitive matters only with authorized personnel in appropriate settings.

Qualifications:

  • High school diploma or equivalent, with additional formal clerical and computer training preferred.
  • Familiarity with basic clerical procedures, typically obtained through six months of clerical office experience.
  • Proficient typing and data entry skills, with a keen attention to detail in spelling and grammar.
  • Strong telephone skills and proficiency in operating office equipment, including personal computers and standard office machinery.
  • Excellent interpersonal skills to communicate effectively with staff, physicians, medical personnel, patients, and visitors to relay factual information.
  • Strong organizational skills, capable of managing multiple tasks, meeting deadlines, and adapting to changes and interruptions.
