Duties:
With minimal supervision, the incumbent will oversee all facets of Trauma Registry operations, including data collection, entry, retrieval, quality assurance, integrity, analysis, display, and statistical conversion. This role involves collaboration with state and regional regulatory agencies to provide necessary data that upholds the hospital’s accreditation as a Verified Trauma Center. The responsibilities will align with the latest criteria set forth in the current American College of Surgeons (ACS) document, "Resource for the Optimal Care of the Injured Patient," specifically regarding registrar activities.

Principal Duties and Responsibilities:

  • Identify and assess all potential trauma cases to determine their inclusion in the registry, utilizing various electronic systems.
  • Responsible for the abstraction, coding, and implementation of all trauma data elements in the registry, primarily derived from inpatient trauma cases encompassing all phases of trauma care: pre-hospital, emergency room, inpatient episodes, and autopsy reports.
  • Review trauma admission records to facilitate accurate data collection and abstraction, ensuring compliance with quality assurance trauma standards set by the Trauma Committee, ACS, and relevant accrediting bodies (such as JCAHO and DNV).
  • Compile and report all trauma registry data as mandated by ACS, responding to requests from the Trauma Medical Director and Trauma Program Manager, including addressing any inconsistencies in monthly trauma audit reports.
  • Generate additional quality improvement reports as requested by the Trauma Committee and deliver presentations at quarterly institutional meetings.
  • Conduct validity checks per established guidelines to verify data integrity and accuracy.
  • Expand the database and program to accommodate the evolving needs of the Trauma Program and Health System, in alignment with regional and state requirements.
  • Ensure timely abstraction and submission of data required by state agencies.
  • Collaborate with the state Trauma Registry and contribute to the development of future data collection initiatives and software improvements.
  • Represent the hospital at regional and state levels, actively participating in the advancement of the statewide trauma network.
  • Maintain proactive communication and engagement through participation in work groups and provide in-service training as needed.
  • Liaise with software support staff from the hospital’s specific trauma registry vendor.
  • Prepare and distribute quarterly and annual reports to be shared internally via the Institutional Trauma Committee and other relevant parties.
  • Fulfill research requests as approved by the Trauma Director or Trauma Program Manager.
  • Perform other related duties as assigned.

  • Equivalent experience in Trauma Registry, which includes completion of the American Trauma Society (ATS) Registry Course and/or the Abbreviated Injury Severity (AIS) Scoring Course.

Certifications/Licenses Required:

  • Certification as a Registered Health Information Technician (RHIT) is required.
    OR
  • Verification of completion of the American Trauma Society (ATS) Trauma Registrar Course and/or AIS Scoring Course.

This position is remote and requires a self-starter with strong communication skills. Relevant experience in trauma registry operations, ICD-10, Cerner, and trauma base trauma registry is preferred.
