Job Purpose and Overview
The Executive Assistant provides high-level administrative and operational support to the Chief People Officer, Vice Presidents, and Group Leads within the People Team, while also offering occasional assistance to other leaders as required.
Ideal candidates will possess expertise in managing complex calendars, coordinating domestic and international travel, and organizing meetings and events, all while maintaining exceptional attention to detail and professionalism. The ability to prioritize and multitask effectively with minimal supervision is essential. Proficiency in advanced Microsoft Excel and other similar applications is required, alongside the capability to prepare, analyze, and present information in a polished manner.
Candidates must have experience supporting senior executives, preferably at the C-suite level, with a strong emphasis on confidentiality, discretion, and relationship management across all organizational levels and with external stakeholders.

Key Responsibilities as an Executive Assistant at Dawn Foods:

Executive Calendar Management:
- Oversee and prioritize complex executive-level calendars, staying mindful of shifting priorities and time zones.
- Anticipate scheduling conflicts and resolve them proactively with discretion and professionalism.

Travel Coordination:
- Coordinate and manage all aspects of business travel, including accommodations for direct reports and candidates, with attention to international travel logistics.
- Ensure compliance with corporate travel policies and optimize itineraries for efficiency.

Meeting and Event Planning:
- Organize and oversee meetings (both local and international), managing logistics, preparing agendas, and ensuring follow-up.
- Produce high-quality presentations, agendas, and meeting materials while ensuring accuracy in both visual presentation and content.

Document Preparation:
- Draft, format, and proofread a variety of documents including correspondence, reports, spreadsheets, and presentations, maintaining high professionalism and accuracy.

Confidential Information Management:
- Handle sensitive matters with confidentiality and professionalism, safeguarding sensitive information and data.

Financial Administration:
- Process and manage workflows for invoices, expense reports, and corporate card reconciliations while overseeing budgets for meetings and events as appropriate.

Communication and Relationship Management:
- Act as a liaison between the HR leadership team and internal/external stakeholders, including customers and candidates.
- Manage incoming calls with exceptional diplomacy and tact.

Recruitment Logistics:
- Develop and execute efficient processes for scheduling candidate interviews, coordinating with relevant stakeholders to optimize timelines.

Office Management:
- Maintain office supply inventories and manage procurement as needed.
- Assist in the onboarding process by coordinating relocation services and resources for new hires.

Data Analysis and Reporting:
- Generate and analyze ad-hoc reports using Microsoft Excel, presenting insights clearly for decision-making.
- Additional Duties:
- Provide backup support for HR-related projects and initiatives as required, demonstrating adaptability and learning agility.

Minimum Qualifications:
- High School Diploma or GED; a college degree is preferred though not required with equivalent experience.
- At least three years of experience as a C-level Executive Assistant or in a similar capacity.
- 1-3 years of experience in HR or related fields is preferable.
- Advanced proficiency in Microsoft Office Suite, particularly Excel (including pivot tables, advanced formulas, and data visualization), Word, PowerPoint, and Outlook.
- Exceptional organizational skills and attention to detail, with the capacity to manage multiple priorities in a fast-paced setting.
- Strong verbal and written communication abilities, capable of crafting professional and visually compelling presentations and documents.
- High professionalism with the aptitude to engage effectively with all levels of management and external partners.
- Proven problem-solving capabilities and independence in task management with minimal oversight.
- Strong commitment to confidentiality and ability to navigate sensitive issues with discretion.
- Demonstrated ability to foster collaboration and provide flexible support to team members in pursuit of overarching goals.
- Familiarity with HR practices, policies, and procedures is advantageous.
