Job description:

The Nursing Administrative Assistant is a full-time position at Havenwyck Hospital, a Joint Commission-accredited psychiatric facility located in Auburn Hills, Michigan. Our hospital specializes in delivering comprehensive and compassionate behavioral health services to children, adolescents, and adults. Position Summary:
The Administrative Assistant will provide essential administrative and organizational support to the Chief Nursing Officer (CNO).

Key Responsibilities:

  • Maintain the calendars of nursing leadership, manage contact lists and appointments, and prepare necessary documentation and resources for scheduled meetings.
  • Anticipate and coordinate scheduling for committees and events, ensuring the CNO’s schedule is organized daily by preparing for potential challenges in advance.
  • Exercise discretion and independent judgment regarding significant matters.
  • Conduct follow-ups for all business meetings with minimal guidance and complete minutes for meetings, as well as assist with filing and record keeping as needed.
  • Manage workload related to CNO appointments with sound judgment.
  • Prepare and review travel arrangements, including itineraries for air, ground, and hotel accommodations.
  • Handle associated expense reports, purchase authorizations, memos, and other correspondence.
  • Serve as a knowledgeable resource on hospital procedures and relevant information.
  • Foster effective working relationships with department managers, medical staff, hospital personnel, and community professionals.
  • Draft and prepare correspondence, respond to routine inquiries, and perform additional administrative and clerical functions as required.
  • Coordinate unit secretary meetings and assist the Assistant Chief Nursing Officer (ACNO) in overseeing unit secretary assignments and communicate updates regarding nursing documentation to staff.
  • Supervise unit secretaries, providing direction and support across all shifts to achieve unit goals, ensuring effective communication and continuity in workflows, training, and policy adherence.
  • Coordinate meetings and conference calls, preparing agendas, taking minutes, maintaining distribution lists, and disseminating materials.
  • Assist in developing training materials and presentations.
  • Demonstrate proficiency in planning and meeting deadlines effectively.
  • Conduct literature searches, review relevant content, and catalog electronic resources for reference.
  • Maintain and organize electronic materials on shared drives for ease of access and distribution.
  • Expedite check requisitions and arrange for departmental functions, such as room reservations and food orders.
  • Follow a tailored schedule that meets the needs and objectives of the CNO.
  • Assist with staffing unit schedules as needed.
  • Attend mandatory hospital training and in-service events as required.
  • Uphold all hospital policies and accept additional assignments and responsibilities as necessary.

Qualifications:

  • A Bachelor’s degree is preferred; an Associate’s degree or a minimum of three years of Administrative Assistant experience, or a high school diploma with ten or more years of Administrative Assistant experience is required.
  • Experience in environments emphasizing excellent customer service and independent problem-solving is essential.
  • Proficiency in data gathering and analysis is a must.
