Job description:
Assist the Controller in overseeing the financial operations of the hotel, ensuring the protection of assets and the preparation of financial reports in compliance with generally accepted accounting principles as well as HEI Hotels and Resorts standards.
Responsibilities:
- Verify and reconcile the accuracy of Night Audit processes, particularly focusing on receivables. This includes the reconciliation of banquet check extensions, coding of banquets at cost, and reviewing sales and promotion checks with supporting documentation. Document department administration phone calls and flag any potential concerns to the Controller.
- Record city ledger payments within the property management system, and oversee the reconciliation and billing of all city ledger accounts. Conduct follow-ups on billing and credit collections, while advising the Controller of any accounts that may be uncollectible.
- Reconcile credit card backups to the General Cashier Summary and notify the Controller of any discrepancies. Bill associated credit cards (including AMEX, DINERS, etc.) and maintain accurate logs for all credit card transactions.
- Establish new accounts following the established credit policy.
- Assist in reconciling open account status items.
- Input the General Cashier Summary and maintain comprehensive documentation.
- File and distribute credit card cancellations, bulletins, and credit warnings, while processing and following up on all returned checks accepted as cash payment. Record reconciliations for the General Ledger and City Ledger.
- Ensure adherence to purchasing procedures, including comparison of purchase order amounts to invoices and confirmation that the purchase order number is valid. Maintain an up-to-date Purchase Order Log.
- Route invoices, accompanied by purchase orders, to department heads and Executive Committee members for approval, ensuring precise account coding and timely return of all invoices.
- Process all approved invoices for payment, verifying that all necessary signatures and supporting documentation are included.
- Ensure timely payment of all hotel invoices, verifying the accuracy of amounts paid, account coding, invoice extensions, and application of all discounts.
- Address vendor inquiries and reconcile vendor statements efficiently.
- Maintain organized and current records in the open invoices file, paid invoices file, and voided check file.
- Interface checks and submit a log of all manual checks to the Controller.
- Comply with attendance policies and remain available for regular work duties.
- Undertake additional job-related responsibilities as assigned.
Qualifications:
- A Bachelor’s Degree in Accounting is preferred.
- Prior accounting and hotel experience is advantageous.
- Demonstrated strong organizational skills and a keen attention to detail.
- Proficient in compiling facts and figures with accuracy.
- Competent in operating personal computers and calculators.
- Effective verbal and written communication skills, with the ability to adapt communication styles to diverse audiences, including supervisors, coworkers, and the public.
