Job description:

We are excited to announce an opportunity for a detail-oriented and highly organized Administrative Assistant/Receptionist to join our dynamic team at Discovery Financial. The selected candidate will play a crucial role in managing the front desk, providing essential administrative support, and ensuring the seamless operation of our office.

Responsibilities:

  • Greet and welcome visitors with professionalism and warmth.
  • Manage incoming phone calls, directing them to the appropriate personnel.
  • Coordinate and schedule client meetings and appointments.
  • Prepare and maintain conference room spaces for client engagements.
  • Assist with data entry, record-keeping, and file management within the team CRM.
  • Oversee the procurement of office supplies and manage general correspondence and office maintenance.
  • Accurately complete expense reports on behalf of the financial advisor.
  • Facilitate travel arrangements and accommodations to support office operations.
  • Contribute to the planning and execution of branch events, such as client seminars and appreciation gatherings.
  • Perform various administrative, transactional, operational, and customer support tasks to ensure a productive work environment.

Requirements:

  • Proven experience as an administrative assistant, receptionist, or in a similar capacity.
  • Exceptional verbal and written communication skills.
  • Strong organizational skills with the ability to multitask effectively.
  • Detail-oriented with a capacity to prioritize competing tasks.
  • Ability to work independently as well as collaboratively within a team.
  • Familiarity with office equipment, including printers and fax machines.
  • Experience with financial systems and tools utilized by the branch.

Preferred Qualifications:

  • Prior experience in the financial services industry.
  • Knowledge of office management systems and procedures.
  • Familiarity with CRM software.

Pay Range: $17.54 – $29.24 per hour
