Job description:
The Administrative Assistant II plays a vital role in providing comprehensive administrative and clerical support within a dynamic office setting. The ideal candidate will possess a minimum of one to two years of experience in a fast-paced environment, demonstrating a solid understanding of general office procedures, effective communication skills, and the ability to solve intermediate-level problems. Responsibilities include assisting with basic research, responding to departmental inquiries—including communication with external customers—and supporting the development and administration of various departmental programs and reports. The Administrative Assistant will also perform critical administrative activities for multiple managers and/or departments.
Key Responsibilities:
– Plan and coordinate meeting arrangements, including travel and lodging accommodations.
– Manage calendars by organizing meetings and maintaining event details for managers and departments.
– Prepare presentation materials and equipment, ensuring all logistical arrangements are addressed.
– Compose and produce documents while maintaining relevant databases and records.
– Update and manage departmental websites.
– Conduct research, analyze data, and summarize findings for reports independently.
– Assist with departmental budget management, process expense reports, and maintain filing systems and records.
– Serve as the primary point of contact by answering phones, routing calls, taking messages, and greeting visitors.
– Communicate effectively, screening and prioritizing incoming calls as necessary.
– Order supplies and equipment, submit requests for repairs and services, and monitor inventory and budget records.
– Address routine problems and inquiries regarding departmental policies and procedures, often requiring research to find solutions.
– Type and proofread documents produced by others, ensuring high-quality outputs.
– Create, maintain, and compile data for standard reports, charts, graphs, spreadsheets, and databases.
– Handle confidential information with discretion and professionalism.
Qualifications:
– High school education or equivalent is preferred.
– A minimum of one to two years of administrative support experience is preferred.
