The Economic Development Department Director’s Executive Assistant 2 – Scheduler plays a vital role in planning, organizing, and implementing the EDD Director’s daily and long-term schedules. This position is essential in ensuring that the Director’s schedule is adhered to and respected, acting as both a “gatekeeper” and “gateway.” Additionally, the Scheduler serves as a liaison between the EDD Director, members of the Executive Cabinet, staff, and the public. Effective communication regarding the EDD Director’s schedule and time commitments with pre-identified delegates is paramount.
Key Responsibilities:
– Manage and maintain the EDD Director’s calendar by scheduling internal and external meetings, conferences, special events, and travel.
– Prepare and distribute the daily schedule for the EDD Director and provide weekly updates to the executive staff.
– Take detailed notes for the EDD Director, including essential numbers, locations, and contact names.
– Develop monthly projected schedules and maintain a master calendar that includes significant dates and events requiring awareness.
– Brief the EDD Director on all scheduling activities and requests for public appearances.
– Schedule staff meetings and briefings involving the EDD Director, coordinating the schedules of all participants.
– Assist in coordinating and executing major events hosted or co-hosted by the EDD Director.
– Review and respond to emails, mail, invitations, and phone calls, occasionally responding on behalf of the EDD Director.
– Maintain an organized electronic filing system for correspondence and related data.
– Acknowledge all invitations through either written (electronic) correspondence or personal telephone calls, maintaining records of responses.
– Ensure that the EDD Director receives briefing materials for each event by collaborating with participants and relevant staff.
– Serve as a liaison between the EDD Director, staff, government offices, agencies, and constituents to arrange attendance at meetings, events, or coordinate travel plans.
Educational and Experience Requirements:
– A Bachelor’s degree in a business-related field is preferred; a high school diploma/GED is required;
– A minimum of five (5) years of experience supporting executive-level leadership is required.
