Job description:

MAG Aerospace is seeking a highly skilled Executive Level Administrative Assistant, Senior, with current SECRET clearance to support The Joint Strike Fighter (JSF) Joint Program Office (JPO) at Wright-Patterson AFB, Ohio. This role provides vital administrative and operational support to the F-35 Commanders Action Group (CAG) in navigating the dynamic global landscape and conveying timely, high-quality, precise, and unified information to empower the F-35 Enterprise in delivering essential capabilities to the Warfighter. The selected candidate will deliver specialized executive-level administrative support, executing a comprehensive range of functions tailored to the needs of the F-35 JPO’s senior leadership.

Essential Duties and Responsibilities:

Key responsibilities include, but are not limited to:

  • Engaging with General Officers, Senior Executive Service members (or equivalent), and industry executives on various matters. This requires familiarity with military customs and courtesies, excellent oral and written communication skills, experience supporting headquarters personnel, and a deep understanding of Department of Defense processes.

  • Providing executive administrative support, including travel arrangements for the Program Executive Officer, Executive Director, and Chief of Staff; managing communications; overseeing personnel staffing; and implementing office policies and procedures.

  • Assisting in the Continuity of Operations Plan (COOP), emergency planning, brief compilation and configuration management, official correspondence, as well as coordination and management of military and civilian awards.

  • Performing daily functions as directed by the Contracting Officer Representative (COR) or Technical Point of Contact (TPOC) within each supported office, including:

    • Coordinating and scheduling daily, short-term, and long-term appointments using Microsoft Outlook, as well as composing calendars, schedules, itineraries, and necessary arrangements.
    • Ensuring adherence to schedules and actions to optimize time management, updating the calendars regularly, and resolving appointment conflicts.
    • Preparing read-ahead binders and securing facilities for events by coordinating with the conference room coordinator or relevant office/agency, while submitting all presentations in the required format within the designated timeframe.
    • Managing telephone communications, taking appropriate messages, and directing callers or visitors to government staff.
    • Planning and coordinating visits from distinguished guests to the F-35 JPO.
  • Developing correspondence, reports, memorandums, presentations, ready-to-send emails, and other communication for distribution across the organization.

  • Reviewing correspondence that requires the Senior Executive Leader’s (or designee’s) signature, ensuring correctness and compliance with procedural and regulatory instructions while conducting quality checks for grammar, typographical errors, and necessary attachments.

  • Monitoring and tracking correspondence to ensure compliance with all assigned suspense requirements and performing quality control reviews of reports and documents.

  • Drafting meeting minutes, distributing meeting documents, and posting minutes as necessary for participants.

  • Maintaining assigned files and record systems according to approved guidelines.

  • Assisting with the management of the Defense Travel System (DTS) for the organization, including completing travel authorizations and vouchers, and aiding government travelers in their requests.

  • Demonstrating proficiency in the commercially available Task Management Tool (TMT), which underpins the JPO Task Management System, Enterprise Task Management Software Solution (ETMS2). The candidate will manage the organization’s ETMS2 in alignment with operating instructions and training, with the understanding that decision authority for ETMS2 tasks resides with the government.

  • Overseeing the organization’s workflow mailbox and ETMS2 for tasking and issues, assigning tasks to the relevant JPO organizations. Providing weekly stakeholder communications regarding tasks due within the week, and preparing status slides for staff meetings at the close of business on the last government business day of the week.

  • Assisting with the setup of Video Teleconferences (VTC), Microsoft Teams meetings, Webex, Zoom, or any other platforms utilized by the government or commonly employed in business settings within the United States.

Requirements:

Experience:

  • A minimum of 5 years of experience in Department of Defense executive support.

Knowledge and Skills:

  • Strong organizational, verbal, and written communication skills.
  • Ability to prioritize and process information and requests from both external and internal personnel.
  • Keen attention to detail and deadlines, paired with strong critical thinking skills.
  • Proficiency in Microsoft Office Suite is essential.
  • An active Secret security clearance is required.

Education:

  • An associate’s degree is required.

Clearance:

  • An active SECRET clearance is mandatory.

Preferred Qualifications:

  • Experience in an office setting is advantageous.
  • A minimum of 10 years of DOD executive support experience is preferred.
