This is an on-site position, scheduled from 3:30 p.m. to 7:30 p.m., Monday through Thursday evenings.
SUMMARY: The Receptionist will manage the front desk operations, providing a warm welcome to clients and effectively handling incoming phone calls. This role involves securing electronic signatures for all new client intake paperwork and maintaining strong communication between the office manager and therapists. All agency staff members are expected to prioritize quality improvement initiatives to create a safe and nurturing environment for clients and colleagues. This commitment encompasses teamwork, enhancing service delivery, achieving departmental goals, and fulfilling other role-specific responsibilities aimed at promoting excellence.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Each employee is expected to act as a consistent witness for Jesus Christ and adhere to the Standards of Moral Conduct and the Statement of Faith. Essential functions include, but are not limited to:
– Cultivating a ‘team first’ spirit within the workplace to foster positive working relationships within the assigned Encompass regional team and across other agency departments.
– Creating a welcoming environment for guests and visitors while acting as the primary representative of the office to the public, ensuring friendly, compassionate, and inviting interactions.
– Answering and screening telephone calls, directing them to the appropriate personnel.
– Conducting client intakes for potential clients who call in.
– Greeting visitors and clients, directing them to the appropriate individual or area.
– Scheduling client appointments and distributing associated paperwork.
– Composing and typing routine correspondence.
– Overseeing routine office maintenance, including cleanliness of the reception area and addressing minor cleanup tasks as needed.
– Managing vehicle and room reservations/schedules.
– Providing additional clerical and administrative support as necessary.
Other duties may be assigned.

LANGUAGE SKILLS: Proficiency in reading, comprehending, and writing simple instructions, correspondence, and memos is necessary. Candidates must effectively present information in one-on-one and small group settings to customers, clients, and fellow employees.
MATHEMATICAL SKILLS: The ability to perform basic arithmetic operations such as addition, subtraction, multiplication, and division with two-digit numbers, as well as to handle American money and weight measurement, volume, and distance.
REASONING ABILITY: Strong problem-solving skills are essential, including the ability to manage diverse and concrete variables in situations with limited standardization. Candidates must be able to interpret various forms of instructions (written, oral, diagram, or schedule).
COMPUTER SKILLS: Proficiency in using a computer is essential, with specific competency in the internet, accounting and database software, as well as Microsoft Outlook, Excel, and Word.
