Job Overview

We are in search of a meticulous and organized Administrative Assistant/Receptionist to join our team. The successful candidate will be responsible for overseeing front desk operations, providing critical administrative support, and ensuring seamless day-to-day operations within the office.

Responsibilities

  • Greet and welcome visitors with professionalism and warmth.
  • Answer and appropriately direct incoming phone calls.
  • Schedule and coordinate client meetings and appointments efficiently.
  • Prepare and maintain conference spaces for client meetings.
  • Assist with data entry, filing, and the upkeep of office records within the team CRM.
  • Order office supplies, manage communications, and coordinate office maintenance.
  • Complete expense reports accurately on behalf of the financial advisor.
  • Arrange travel accommodations to support the practice.
  • Assist in planning branch events, such as client seminars and appreciation events.
  • Perform a range of administrative, transactional, operational, and customer support tasks.

Requirements

  • Proven experience as an administrative assistant, receptionist, or in a comparable role.
  • Exceptional verbal and written communication skills.
  • Strong organizational and multitasking capabilities.
  • Detail-oriented with effective task prioritization skills.
  • Ability to work independently as well as collaboratively within a team.
  • Familiarity with office equipment, including printers and fax machines.
  • Experience with financial systems and tools utilized by the branch.

Preferred Qualifications

  • Experience within the financial services industry.
  • Knowledge of office management systems and procedures.
  • Familiarity with CRM software.

Pay Range: $17.54 – $29.24/hour.
