Job description:
The Department of Physics is seeking a highly organized and detail-oriented Administrative Aide (Level-8 classification) to oversee operational functions, primarily focused on the graduate program and financial management pertaining to departmental accounts (including General Fund, Research, and Tech Fund). This role will provide essential professional support to both the department coordinator and chair.
The successful candidate will be responsible for a diverse range of administrative tasks, including but not limited to:
- Delivering administrative support and information in alignment with established university policies, ensuring a professional, friendly, and courteous interaction with a diverse population, particularly regarding the graduate program.
- Providing exceptional customer service to faculty, staff, and students, ensuring the efficient and timely functioning of departmental operations.
- Managing daily financial activities and maintaining files for various departmental accounts.
- Processing purchase requisitions, check requests, travel reimbursements, and expense reallocations, while managing petty cash funds.
- Overseeing departmental purchasing card activities and assisting cardholders with reporting in the Concur system.
- Verifying payroll records and coordinating payroll for student employees, including the initiation of electronic payroll forms and timesheet approvals.
- Supporting departmental events such as student orientations, seminars, and presentations.
- Generating monthly reports regarding Tech Fund donations and maintaining printer, photocopier equipment, and office supplies inventory.
- Coordinating departmental colloquia, including visitor logistics and scheduling, while preparing itineraries and announcements.
- Collaborating with the MTU Registrar’s Office for academic functions and coordinating textbook orders with the bookstore and faculty.
- Maintaining records of syllabi and class rosters while compiling evaluations for academic courses.
- Contributing to the creation of departmental marketing materials such as brochures, newsletters, and outreach content.
- Managing multiple Google calendars for departmental activities.
- Responding to routine inquiries using discretion and professionalism, as well as assisting the office manager with special events and projects.
- Utilizing various software systems for data analysis, reporting, and maintaining confidentiality.
- Committing to continuous improvement strategies and applying safety-related practices in daily operations.
Required Education and Experience:
Candidates must possess a high school diploma combined with relevant experience that demonstrates strong communication and accounting skills. A minimum of five years of administrative support experience in a collaborative environment, as well as proficiency in advanced software applications (including cloud-based tools), is essential. Experience in financial management, along with a demonstrated ability to work effectively with diverse populations, is also required.
Desirable Qualifications:
An Associate or Bachelor’s degree in business administration or a related field, or an equivalent combination of education and experience, is preferred. Experience in higher education and content creation for various communication channels is advantageous.
