Under the general supervision of the Clinic Supervisor, the Clinic Program Clerk is responsible for delivering exceptional customer service and administrative support at the front desk of a dynamic public health clinic. In this pivotal role, the Clerk serves as the primary point of contact for clients and visitors, ensuring they receive a warm welcome, accurate information, and prompt service. Key responsibilities include managing patient appointments, addressing inquiries, and actively contributing to the clinic’s smooth and organized operations.

The Clinic Program Clerk will perform the following essential functions:
- Schedule appointments, register, and process client check-outs utilizing Electronic Medical Records (EMR).
- Provide outstanding customer service to all clinic clients and visitors.
- Assist with billing processes, including the collection of co-pays, processing payments, and addressing client billing inquiries.
- Acquire proficiency in the use of, at a minimum, EMR, Michigan Care Improvement Registry (MCIR), and other billing software.
- Execute a range of clerical duties associated with program-related software.
- Create forms, documents, spreadsheets, and presentations using various electronic applications.
- Distribute program-related information, such as flyers, applications, and poverty guidelines, to clients.
- Schedule appointments and facilitate referrals based on individual program needs.
- Collaborate with management and team members to coordinate program activities effectively.
- Maintain meticulous records, charts, and files while ensuring compliance with privacy guidelines.
- Input data essential for billing, reporting, and tracking purposes.
- Collect payments as dictated by program requirements.
- Uphold client confidentiality per the Calhoun County Public Health Department’s HIPAA policies and procedures.
- Gather necessary demographic and financial information from clients based on program requirements.
General Duties and Responsibilities:
- Actively participate in team and staff meetings.
- Engage in public health quality programs, including Quality Improvement, Quality Assurance, and Quality Control.
- Participate in emergency preparedness training and exercises as required.
- Identify personal needs for professional growth and engage in educational opportunities to enhance knowledge and skills relevant to job responsibilities.
- Comply with established policies and procedures while maintaining client confidentiality.
- Perform additional duties as assigned.
Qualifications:
- High school diploma or GED; additional coursework in office administration or a related field is preferred.
- Familiarity with or completion of coursework in medical office management or a related field is preferred; healthcare experience is highly desirable.
- Bilingual abilities in commonly spoken regional languages such as Spanish, Burmese, or Swahili are preferred.
- A minimum of three years of customer service experience.
Skills:

- Ability to effectively interact with a diverse clientele, visitors, and staff.
- Proficient in Microsoft Office Suite and skilled in data entry; must achieve proficiency in program-related software within 90-180 days, contingent on the specific software.
