The GRPS Foundation, established over 30 years ago, is dedicated to addressing the most pressing needs of students within the Grand Rapids Public Schools (GRPS) system. As the primary fundraising partner for GRPS, our mission to eliminate barriers to student success is more critical than ever. We are committed to raising vital funds that enable every student in the GRPS community to access opportunities that enrich their educational experience. Operating as an independent nonprofit organization, we are supported by a dedicated team of 23 volunteer board members, three ex-officio board members, four staff members, and numerous community impact partners. Our initiatives prioritize direct, student-centered funding aimed at addressing the current challenges faced by GRPS students and families. For the 2024-25 school year, our focus includes supporting essential programs such as sports, fine arts, and experiential learning, while also tackling urgent issues like teacher and principal support. Our Teacher Innovation mini-grant program exemplifies our commitment to providing hands-on learning projects that inspire both educators and students.
The Office & Donor Base Coordinator is a key player in our organization, ensuring effective office operations, maintaining precise donor records, and nurturing robust relationships with our supporters. This individual will oversee the donor database, safeguarding the accuracy and security of donor information, and provide critical administrative support to staff and volunteers. Collaborating closely with the Foundation team and board of directors, this role will also serve as a liaison to other stakeholders.

– Leveraging your 2+ years of experience in database management within a non-profit fund development context, along with a bachelor’s degree in nonprofit management, business administration, or a related field. A strong grasp of donor relations and fundraising processes, combined with technical proficiency and a passion for education, youth, and Grand Rapids Public Schools, is essential to advancing our mission.
– Managing and maintaining the organization’s donor database, ensuring the accuracy, security, and confidentiality of all donor information.
– Administering financial record-keeping related to donations, including processing gifts, preparing deposit slips, and collaborating with the Business & Grants Manager on account reconciliations.
– Providing detailed fundraising progress reports and assisting in the analysis for strategic planning.
– Coordinating donor engagement and communications through timely and accurate acknowledgment of pledges, letters, and receipts.
– Leading the preparation of the annual campaign mailing list and coordinating both internal and external mailings.
– Overseeing daily office operations, which includes managing office supplies, equipment, and facilities.
– Offering administrative support to the board and committees, including scheduling meetings, sending reminders, managing calendars, recording minutes, and organizing events.
– Assisting in the coordination of fundraising initiatives, which encompasses mailings, reports, appeals, and special events.
– Supporting the organization in coordinating volunteer and committee opportunities.
– Providing administrative and project management assistance to the CEO.
– Participating in the planning of fundraising events, working closely with the team on processes, sponsorship tracking, guest registrations, logistics, event support, and follow-up.
Candidates should possess at least 2+ years of database management experience in a non-profit fundraising environment, complemented by a bachelor’s degree in nonprofit management, business administration, or a relevant field. A solid understanding of donor relations and fundraising processes, as well as strong technical skills and a commitment to the mission of education and youth development, is paramount.
