IronRoad is conducting a confidential search for an experienced Administrative Assistant whose talents align with this direct hire opportunity for our client based in Solon, Ohio. Summary/Objective:
The Administrative Assistant serves as the primary point of contact for customers, vendors, and other stakeholders. This role is vital in facilitating the smooth operations of the Operations Team through a range of clerical and administrative tasks.

Essential Functions:

  1. Manage incoming phone calls, ensuring timely re-direction as necessary.
  2. Greet and guide visitors and clients effectively.
  3. Coordinate and schedule travel, meetings, and appointments for the Sales Team.
  4. Assist in planning and organizing events, including open houses, demonstrations, trade shows, and other assigned activities.
  5. Maintain filing systems as assigned.
  6. Retrieve requested information from records, emails, minutes, and related documents; prepare summaries of data as needed.
  7. Address and resolve administrative inquiries and questions.
  8. Monitor the company email account, responding appropriately and forwarding to relevant parties.
  9. Communicate with the landlord regarding building maintenance and follow up on service requests as needed.
  10. Aid in processing and fulfilling customer orders for parts and supplies.
  11. Prepare necessary documentation for post-sale processes, including pre-installation, installation, and warranty.
  12. Assist in the scheduling of company staff and third-party contractors, including vendor staff and electricians, in preparation for installations.
  13. Support the dispatch of service technicians for incoming calls and ensure the creation of service tickets.
  14. Help set up new customers or update existing customer accounts with relevant information.
  15. Maintain customer confidentiality by ensuring sensitive information remains secure.
  16. Provide backup support to other team members during schedule conflicts.
  17. Perform any other related duties as assigned.

Position Type/Expected Hours of Work:

Required Education and Experience:

  2. 3-5 years of experience in an administrative role.

Preferred Education and Experience:
