Job description:

Responsible for the preparation of all event documentation and for coordinating with Sales, property departments, and customers to ensure a consistent and elevated level of service throughout the pre-event, event, and post-event phases of property events. This position primarily manages events of average complexity, ensuring a seamless transition from sales to service and back to sales. The role includes identifying opportunities to maximize revenue through upselling and offering enhancements to create extraordinary events.

Education and Experience

  • Possession of a high school diploma or GED, along with 1 to 2 years of experience in event management or a related professional field; OR
  • A 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or a related field, with at least 1 year of relevant experience required.

Core Work Activities
Managing Event Logistics and Operations

  • Ensures seamless event progression by adhering to established procedures and collaborating effectively with colleagues.
  • Welcomes customers during the event phase and facilitates the handover to the Event Operations team for detailed execution.
  • Maintains compliance with all standards, policies, and procedures.
  • Guarantees billing accuracy and conducts reviews with clients prior to processing the final bill.
  • Manages group room blocks and meeting spaces for assigned groups of moderate to large size.
  • Identifies operational challenges and collaborates with property staff and customers to develop effective solutions.
  • Applies judgment to integrate current trends in event management and design.
  • Serves as the liaison between the field salesperson and the customer throughout the event lifecycle.
  • Participates in customer site inspections and provides assistance with the sales process as needed.
  • Performs additional duties as assigned to address business needs.
  • Solicits feedback from property departments to identify areas for enhancement to improve the Event Planner’s experience.

Ensuring and Providing Exceptional Customer Service

  • Delivers exceptional customer service throughout the customer experience and encourages similar behavior from fellow employees.
  • Empowers staff to provide outstanding customer service.
  • Sets a positive standard for guest relations.
  • Effectively communicates event details, both verbally and in writing, to customers and property operations.
  • Maintains a visible presence to customers at all times throughout the process.
  • Oversees customer experiences from file turnover through to the post-event phase until a handover back to sales.
  • Conducts follow-ups with customers after events.
  • Addresses and resolves guest issues and complaints.
  • Utilizes personal judgment and expertise to enhance the customer experience.
  • Remains available to troubleshoot and propose alternatives to previous arrangements.
  • Continuously seeks to improve customer service by incorporating feedback and personal insights into actionable plans.
  • Emphasizes guest satisfaction during departmental meetings, focusing on continuous improvement.
  • Engages with guests to gather feedback on product quality and service levels.
  • Ensures hourly employees comprehend expectations and parameters for event activities.

Leading Event Management Teams

  • Conducts formal pre- and post-event meetings as necessary to review and communicate group requirements and feedback.
  • Leads pre-event and post-event meetings for assigned groups of average to large size.
  • Facilitates various necessary meetings (i.e., Banquet Event Order meetings, block reviews, etc.).

Supporting and Coordinating with the Sales and Marketing Function

  • Aids in the sales process and revenue forecasting for customer groups.
  • Engages in upselling products and services throughout the event lifecycle.
  • Forecasts group sleeping rooms and event revenue (catering and audio-visual) for assigned groups.

Conducting Human Resources Activities

  • Reviews comment cards and guest satisfaction results with employees.
  • Observes employee service behaviors and provides constructive feedback to individuals and/or managers.
  • Assists in developing and implementing corrective action plans.
  • Takes initiative to leverage experience to improve service performance based on personal evaluations of issues and resolutions.
  • Collaborates with property staff and customers to address operational challenges associated with assigned groups.
  • Performs other duties as assigned to meet business needs.

The salary range for this position is $52,000 to $66,000 annually.
