Job description:
The Program Operations Coordinator will play a pivotal role in supporting the Damon J. Keith Center for Civil Rights and the Detroit Equity Action Lab (DEAL) by ensuring seamless operations and effective coordination of activities. This position is essential in aiding both directors in their efforts to foster racial equity, civil rights, and social justice within Detroit and beyond. The incumbent will be responsible for managing a varied set of administrative, project coordination, and operational tasks to ensure the successful implementation of programs, events, and initiatives. Collaboration with other staff members from the Keith Center and DEAL is vital, and the position will report directly to the Associate Director of DEAL and the Associate Director of the DJK Center.
Administrative Support
- Oversee and maintain calendars for both directors, including scheduling meetings, resolving conflicts, and coordinating travel arrangements.
- Process invoices, reimbursements, expense reports, and other financial transactions while ensuring accuracy and adherence to organizational policies.
- Organize and manage files, documents, and records for efficient retrieval and access.
- Act as the primary contact for administrative inquiries and correspondence, directing them to the appropriate parties as necessary.
- Assist in grant management by tracking deadlines, compiling reports, and supporting budget oversight.
Project Coordination
- Coordinate logistical aspects of events, including securing venues, preparing materials, managing RSVPs, and overseeing on-site operations.
- Support the planning and execution of large-scale events such as signature events, academic programs, special projects, and community conferences.
- Collaborate with directors to conduct research and prepare presentations, reports, and other program-related materials.
- Work alongside university communications staff to promote events, develop event materials, and manage post-event follow-up actions.
Communications and Outreach Support (Keith Center only)
- Assist in managing web content, including updating website sections, coordinating with IT, and posting announcements.
- Support social media initiatives and other communication strategies as needed.
- Aid in drafting correspondence, newsletters, and other communications directed at stakeholders, donors, and advisory board members.
- Coordinate email communications, newsletters, and other outreach materials aimed at stakeholders.
Team and Stakeholder Engagement
- Serve as a liaison among directors, staff, community partners, and university departments.
- Assist in onboarding and orienting new team members, interns, and volunteers.
- Facilitate communication and collaboration across teams to maintain alignment on shared objectives and deadlines.
General Office Operations
- Monitor office supplies and equipment, managing orders and inventory as required.
- Maintain a welcoming and organized workspace for both staff and visitors.
- Record minutes during meetings and distribute them promptly to ensure clarity and accountability on action items.
- Perform additional related duties as assigned.
Qualifications
- Bachelor’s degree from an accredited college or university in business administration or a related field is preferred; equivalent experience will also be considered.
- A minimum of five years of relevant experience, including demonstrated capacity to provide administrative support at the executive level.
- Prior experience in higher education and/or business executive administration is preferred.
- Experience in social media management and content creation is a plus.
- Proficient in office software (e.g., Microsoft Office Suite, Google Workspace) and familiar with grant management platforms. Familiarity with Wayne State systems such as WayneBuy and Travel Wayne is preferred.
Knowledge, Skills, and Abilities
- Basic understanding of accounting principles, bookkeeping procedures, and associated applications.
- Strong organizational skills with the capability to prioritize tasks and manage competing deadlines effectively.
- Detail-oriented with exceptional written and verbal communication skills, capable of interacting positively with diverse stakeholders.
