Job description:
Assist the Front Office Manager in overseeing Front Office operations to ensure exceptional guest experiences and high-quality service. Demonstrate meticulous attention to detail and proficiency in technology to adhere to corporate standards while striving to meet or exceed the hotel’s financial objectives. Facilitate a seamless and friendly atmosphere throughout the guest arrival, departure, and overall interaction processes.

Responsibilities:
– Communicate effectively, both verbally and in writing, to provide clear direction to staff. Assign tasks to guest service agents and monitor performance, encouraging continuous improvement.
– Warmly welcome guests upon arrival. Employ a friendly tone, actively listen to requests, and respond appropriately, providing accurate information regarding outlet hours and local attractions.
– Efficiently Process guest registrations by inputting and retrieving information using our computer system, confirming vital details such as guest numbers and room rates. Actively promote HEI Hotels and Resorts and brand-specific marketing initiatives, while making suitable room assignments based on guest needs. Handle electronic key coding, ensure guests receive welcome folders with keys and relevant information, and finalize guest accounts at checkout.
– Manage credit card authorizations through electronic acceptance methods, handling cash transactions accurately and balancing an assigned house bank. Record and process various payment forms, execute moderately complex arithmetic operations, and post charges to guest rooms and house accounts.
– Answer phones promptly with a positive demeanor, recording messages in the computer system and relaying them to guests. Retrieve mail, packages, and faxes as requested by customers.
– Maintain composure during busy periods or emergencies, serving as a role model to colleagues. Resolve guest complaints through thorough situation analysis and effective solution implementation. Make informed decisions based on experience and judgment, offering revenue allowances only after evaluating other alternatives.
– Uphold attendance standards and be reliably available for scheduled shifts.
– Perform additional job-related duties as assigned.

Qualifications:
– A high school diploma is required; a college degree is preferred.
– A minimum of one year of customer service experience in hospitality or a related field.
– Strong interpersonal skills to effectively engage with both internal and external customers, necessitating patience, tact, and diplomacy to resolve conflicts.
– Basic mathematical skills, with proficiency in using a calculator for moderately complex calculations without error.
