Job description:
Office Coordinators are responsible for overseeing routine office operations and managing administrative tasks within the community. They play a key role in assisting with the planning and coordination of community events and activities.

Key Responsibilities:
– Greet and establish rapport with guests, current, and prospective residents, while handling community feedback, suggestions, and complaints to the Community Manager.
– Prepare and distribute communications for residents and the community, including rule reminders, violation notices, rent increase letters, delinquency notices, eviction paperwork, lease addendums, and renewals.
– Collect and process resident security deposits, processing fees, rent, and other miscellaneous fees using Yardi; ensure proper recording in accounts and issue receipts accordingly.
– Complete and reconcile monthly community reports, including accounting reports and community activity reports, while maintaining records and files per the Operations Manual.
– Perform general administrative duties such as answering phone calls, typing, copying, faxing, and filing.
– Review and code invoices and statements for approval by the Community Manager.
– Schedule clubhouse rentals and manage rental fee processing.
– Ensure adequate office supply inventory and prepare orders as needed.
– Conduct collection calls for site rental payments as directed by the Community Manager and submit overdue accounts for collections.
– Process resident move-ins and move-outs in accordance with the Operations Manual.
– Assist in planning and coordinating resident relations events and community activities.
– Contribute to the preparation of marketing materials, including brochures and flyers about homes for sale and community events as directed by the Community Manager.
– Refer all sales prospects to the Community Manager and promptly enter prospect information into Yardi.
– Assist prospective residents in checking the status of Sun Homes inventory, reviewing listings, showing homes, and supporting rental applications under the Community Manager’s discretion.
– Forward customer service requests from Sun Homes to the Community Manager in a timely manner.
– Process new move-in incentive requests for non-Sun Homes deals.
– Coordinate with the Underwriting team at the Main Office to obtain approvals for prospective resident applicants, tracking all approvals and denials.
– Maintain the petty cash fund, ensuring expenditures are properly recorded.
– Prepare bank deposit slips and execute deposits as required; conduct daily bank runs as necessary.
– Perform other duties as assigned.

Qualifications:
– High School Diploma or GED (Required).
– Valid driver’s license.
– Minimum of 2 years of administrative experience.
– At least 6 months of prior experience using Yardi.
– 6 months of experience in a property management office.
– Excellent written and verbal communication skills.
– Strong customer service skills.
– Exceptional problem-solving capabilities.
– Intermediate computer proficiency.
– Professional appearance.
