Job description:
The primary purpose of this position is to plan, manage, coordinate, advise, execute, and train on matters related to Protocol. The incumbent will serve as an event planner for visits from distinguished guests and groups, organizing special meetings, conferences, awards presentations, and various ceremonies. Key events include the CORONA Top, USAF Marathon, Senior Leader Conferences, Annual Excellence Awards Banquet, International Ball, and AFMC Changes of Command, ensuring the appropriate use of funding is ascertained.

Duties include:

– Assisting in the implementation of policies and procedures for Protocol. Plans, formulates, manages, advises, coordinates, directs, administers, and executes protocol activities, including changes of command, conferences, executive-level meetings, retirements, promotions, commander’s calls, visits by distinguished official guests and groups, special presentations, award programs, and related special purpose conferences and projects in support of the AFMC leadership.

– Upon notification of impending visits, planning and establishing the agenda for each visit to maintain and enhance the status and prestige of senior leaders. Conducting thorough research on visitors’ history, preferences, and background to avoid any breach of protocol or customs.

– Attending functions and monitoring activities in support of the Protocol Office; briefing Commanders and key leadership on special events, providing necessary written materials for requests and approvals.

– Planning, managing, and scheduling special ceremonies such as retirements, decorations, and special awards, ensuring that all arrangements, including invitations and reception logistics, meet the expectations of the Top Five.

– Communicating information verbally and in writing with command staff, internal/external points of contact, supervisors, co-workers, and clients; ensuring clarity and accuracy in all communications.

– Utilizing knowledge of budgeting and accounting practices to project, monitor, and document expenditures, ensuring funds are properly allocated and all required documentation is complete and accurate.
