We are currently seeking a dynamic and motivated Administrative Assistant with a proven ability to collaborate effectively with software engineers and host VIP guests. The ideal candidate will possess exceptional organizational skills, adaptability, and a passion for the administrative tasks that support a vibrant and diverse office environment.
Office Administration Responsibilities:
- Facilitate shipping and receiving operations by preparing packages for shipment via carriers such as UPS, FedEx, and USPS, and managing associated receiving documentation.
- Provide general assistance to employees, manage online communications, and support callers and visitors with professionalism.
- Welcome and greet visitors, ensuring the completion of sign-in processes and security protocols, including the distribution and logging of key cards and visitor badges. Provide escort services for visitors and service technicians as required by security procedures.
- Professionally respond to telephone calls, emails, and other essential office communications while efficiently managing errands to optimize time and resource utilization.
- Maintain an inventory of office supplies, employee health supplies, cleaning products, and breakroom necessities; proactively monitor and stock as needed.
- Collaborate with the Facilities Department to monitor office and site conditions and coordinate necessary maintenance and repairs.
- Ensure the reception area is well-maintained, reflecting a professional business environment.
- Assist the Finance Department with receiving tasks when required.
Management Support Responsibilities:
- Oversee selected daily functions for assigned management team members, including calendar management for complex meetings, travel arrangements, and expense reporting.
Event Planning Responsibilities:
- Support the planning, coordination, and execution of company workshops, events, parties, and celebrations, which may include large onsite meetings, site-specific activities, corporate gatherings, and hosting external visitors or special guests.
Qualifications Required for Success:
- Completion of academic coursework related to computer applications, office administration, technology, or other relevant fields.
- A minimum of 4 years of experience as an Office Assistant, Front Office Assistant, or Administrative Assistant in a multifaceted professional office environment, delivering exceptional service to both internal and external customers.
- Comprehensive knowledge of office management responsibilities, systems, and procedures; familiarity with accounting, data management, and administrative practices.
- Proficient in Microsoft Office applications with the capability to learn new software as necessary.
- Ability to design and edit graphic presentations and materials.
- Strong verbal and written communication skills to foster trust and establish quality relationships, coupled with excellent report creation and data presentation capabilities. Outstanding time management and organizational skills are essential.
