About the Role:
We are in search of a highly skilled and proactive High-Level Executive Assistant to provide extensive support to the CEO and COO. This role demands a strategic thinker and exceptional communicator capable of efficiently managing executive tasks, coordinating both business and personal affairs, and anticipating needs before they arise. The ideal candidate will be deeply organized, discreet, and adaptable—able to thrive in a dynamic environment while ensuring smooth daily operations for executive leadership.
As a High-Level Executive Assistant, your daily responsibilities will include:
Executive Support & Coordination:
- Manage and prioritize the CEO/COO’s calendar, scheduling meetings, appointments, and travel arrangements.
- Act as the primary gatekeeper for all incoming communications, including emails, phone calls, and correspondence.
- Draft, edit, and proofread emails, reports, presentations, and other documents on behalf of the CEO/COO.
- Coordinate meeting preparation, including agendas, minutes, and follow-ups, ensuring timely completion of action items.
- Serve as a liaison for the CEO/COO, proactively resolving issues before they escalate.
Project & Task Management:
- Monitor and follow up on tasks, projects, and deadlines to ensure alignment with executive priorities.
- Organize and oversee special projects, both personal and professional, to support the CEO/COO’s strategic objectives.
- Manage confidential documents and sensitive information with the utmost discretion.
- Conduct research and prepare background materials for executive decision-making.
- Handle expense reports, invoices, and financial reconciliation related to executive needs.
Errand & Logistics Management:
- Efficiently execute personal and professional errands, including but not limited to:
- Banking and financial transactions
- Event planning and coordination
- Travel arrangements and accommodations
- Purchases and returns
- Addressing household or office-related needs
- Ensure all logistical arrangements run smoothly, including transportation coordination, reservations, and itinerary planning.
- Work collaboratively with vendors, contractors, and service providers for both business and personal matters.
Communication & Relationship Management:
- Represent the CEO/COO in meetings, calls, and correspondence when necessary.
- Develop and maintain strong relationships with internal teams, clients, and external customers.
- Ensure clear and professional communication of executive messaging across all platforms.
- Promote a culture of efficiency and accountability through alignment between executive leadership and team operations.
Office & Administrative Management:
- Provide high-level administrative support to guarantee smooth office operations.
- Maintain and update executive files, records, and confidential information.
- Assist in planning events, company initiatives, and support for the leadership team.
- Optimize workflows and administrative processes for improved efficiency.
Schedule & Travel:
This is a full-time position, Monday through Friday, with daytime hours. The department offers a flexible schedule. While travel is not a standard requirement for this department, there may be occasions when adjustments to your schedule are necessary to accommodate our divisions that operate around the clock.

Qualifications Required:
- A minimum of 3-5 years of experience in a business or executive setting.
- At least 2-3 years of proven experience supporting a COO, CEO, or business owner.
- Demonstrated initiative and ability to work independently with minimal supervision.
- A valid driver’s license and auto insurance.
- Proficiency in core computer skills, with experience using Google Suite or Microsoft Office.
- A background in customer service for a minimum of 2-3 years, emphasizing effective communication and excellent interpersonal skills.
- Experience managing and implementing multiple projects simultaneously, meeting established goals within specified timeframes.
- Financial acumen, including the ability to comprehend P&L statements and apply financial insights to operational contexts.
- Strong problem-solving and critical thinking skills, with a fundamental understanding of basic contract language.

- Experience managing contracts, ensuring compliance, and overseeing licensing processes to meet regulatory standards.
