Job description:

The Office Assistant III is tasked with the execution of clerical duties within the designated area, employing independent judgment and exceptional multitasking abilities to adhere to established procedures and achieve outlined objectives. Required Qualifications:

  • Associate degree in a related field.
  • Minimum of three (3) years of clerical experience.
  • Exemplary customer service skills.
  • Proven ability to multitask and adapt within a dynamic work environment.
  • Strong general clerical skills, exhibiting accuracy in basic mathematics, filing, proofreading, typing, spelling, and data entry.
  • Proficient understanding and operation of office equipment, including personal computers, as well as familiarity with department-specific software.

Job Duties:

  1. Utilize analytical skills to manage and address phone and in-person student inquiries.
  2. Oversee recruitment visits from four-year colleges and universities on campus.
  3. Direct students to the appropriate personnel as needed.
  4. Compile reports from existing records (Colleague, SARS) as required.
  5. Create and manage staff schedules using the SARS scheduling software system.
  6. Screen incoming mail and fulfill supply orders.
  7. Assist in compiling and organizing data for student text campaigns, including importing and mapping data into SARS messaging software.
  8. Support the review of applications and conduct interviews for open clerk positions within the department.
  9. Schedule training sessions and serve as the lead trainer for new clerical staff.
  10. Monitor email communications sent to the front desk mailbox to ensure documentation from students is complete and that they are prepared for advising appointments.
  11. Promote advising visits from four-year institutions through the Schoolcraft.edu/transfer site, campus signage, and student-run newspaper.
  12. Prepare the 4-Year advising office area, including sign-in sheets and pertinent school information.
  13. Operate standard office machinery and utilize relevant software.
