Job description:
Office Coordinators are responsible for managing the daily operational and administrative functions of the community. This role includes assisting in the planning and coordination of community events and activities.

Key Responsibilities:
– Greet and build rapport with guests, current residents, and potential residents. Address community feedback, suggestions, and complaints to the Community Manager.
– Prepare and disseminate communications to residents and the community, including rule reminders, violation notices, rent increase letters, delinquency notices, eviction documentation, lease addendums, and renewals.
– Collect and record resident security deposits, processing fees, rents, inspections, applications, and other miscellaneous fees in the Yardi system; maintain accurate records and issue receipts as necessary.
– Complete and reconcile community reports as per the monthly calendar, including accounting reports, community traffic reports, and activity reports. Ensure record-keeping aligns with the Operations Manual.
– Undertake general administrative tasks such as answering phone calls, typing, copying, faxing, and filing.
– Review and code invoices and statements for approval by the Community Manager.
– Schedule clubhouse rentals and handle associated rental fees.
– Monitor and maintain office supply inventory, placing orders as required.
– Conduct collection calls for rental payments as directed by the Community Manager and submit outstanding debt files to collections.
– Process resident move-ins and move-outs in accordance with the Operations Manual.
– Assist in the planning and coordination of resident relations events and activities within the community.
– Aid in the preparation of marketing materials, including brochures and flyers related to homes for sale, community events, and other relevant community information, as directed by the Community Manager.
– Refer all sales prospects to the Community Manager and promptly enter prospect information into the Yardi system.
– Support prospective residents by checking the status of Sun Homes inventory, reviewing listings, showing homes, and assisting with rental applications as directed by the Community Manager.
– Timely forward Sun Homes customer service requests to the Community Manager.
– Complete new move-in incentive requests for non-Sun Homes transactions.
– Coordinate with the Underwriting team at the Main Office to obtain approvals for prospective resident applications; track all approvals and denials systematically.
– Manage the petty cash fund, accurately recording expenditures in the appropriate accounts.
– Prepare and process bank deposit slips and deposit funds as necessary; perform daily bank runs when needed.
– Execute other duties as assigned.

Requirements:
– High School Diploma or GED (Required).
– Minimum of 2 years of administrative experience.
– At least 6 months of experience utilizing the Yardi system.
– A minimum of 6 months of experience in a property management office.
– Exceptional written and verbal communication skills.
– Strong customer service abilities.
– Excellent problem-solving capabilities.
– Intermediate proficiency in computer applications.
– Professional appearance is essential.
