Job description:

Malace|HR is currently in search of an enthusiastic and dedicated Property Manager to oversee and maintain the physical environments of our managed commercial properties, ensuring their aesthetic appeal and financial performance. The Property Manager will be instrumental in various aspects, including property maintenance, tenant relations, budgeting, vendor management, and project oversight. This role necessitates a proactive approach to enhance tenant satisfaction, operational efficiency, and uphold high standards for property upkeep.

Key Responsibilities:

  • Tenant & Owner Relations: Deliver exceptional service and responsiveness to tenants and property owners, ensuring their needs are addressed promptly and professionally.
  • Tenant Coordination: Manage tenant move-ins and move-outs, conduct property walk-throughs, and facilitate tenant interactions throughout the duration of their lease.
  • Cost Containment & Financial Oversight: Identify and implement cost containment strategies, manage budgeting and expenditure controls, and prepare annual budgets, forecasts, management plans, monthly financial reports, and variance analyses with clear justifications for any discrepancies.
  • Property Maintenance & Enhancements: Oversee the preservation and enhancement of both the interior and exterior aesthetics of the properties by coordinating internal teams and service providers. Strategically plan capital improvements with meticulous attention to detail.
  • Site Inspections & Preventative Maintenance: Conduct regular site inspections to ensure compliance with preventative maintenance schedules and adherence to Fire and Life Safety regulations.
  • Vendor Management: Cultivate and manage vendor relationships, ensuring the effective management of contracts while holding vendors accountable to high standards. Seek out reliable and cost-effective vendors who align with our quality expectations.
  • Operational Excellence: Ensure compliance with property management policies and procedures, minimizing risks through accurate documentation of management and supplier agreements.
  • Team Leadership & Training: Supervise, train, and manage staff assigned to properties (e.g., day porters and service technicians) to ensure timely and professional handling of all tenant requests and work orders.
  • Safety Compliance: Monitor compliance with MIOSHA/OSHA regulations and maintain up-to-date Safety Manuals.
  • Project Management: Oversee tenant improvement projects and common area enhancements, ensuring efficient and timely execution.

Educational & Experience Requirements:

  • Demonstrated experience in providing exceptional customer service, both internally and externally.
  • Comprehensive understanding of building systems, including HVAC, electrical, plumbing, and fire and safety protocols.
  • Proficient in financial reporting and capable of conducting financial analysis.
  • High energy, consistently positive attitude, and a commitment to team collaboration.
  • Excellent oral and written communication skills.
  • Proficient in various computer software applications relevant to business practices.
  • A Bachelor’s degree is preferred; however, relevant experience may be acceptable in lieu of a degree.
  • Ongoing education in property management or related fields is advantageous.
