Secretary – Senior Bookkeeper – Special Education
This position is located in the Administration Building and operates Monday through Friday for 8 hours per day within a 12-month schedule. The compensation for the 2024-2025 academic year is $17.43 per hour, in accordance with the RSPA Master Agreement for Classification III.
Qualifications:
- A high school diploma is required; post-secondary credentials are preferred.
- A robust background in accounting and bookkeeping with a minimum of three to five years of relevant experience.
- Proficiency in computer skills with the capacity to learn the software programs essential for this role. Microsoft Office Specialist Certification is preferred.
- Exceptional interpersonal skills for interacting positively with school personnel, vendors, and community members.
- A demonstrated ability to efficiently execute a range of tasks independently with minimal supervision.
- Regular, reliable, and punctual attendance is essential.
- The Board may consider alternative qualifications deemed appropriate and acceptable.
Reports To: Executive Director of Special Education
Job Goal: To ensure the accurate and complete management of financial records related to the special education activities of the District, assist in reconciling accounts, and facilitate the analysis of special education financial data.
Performance Responsibilities:
- Prepare and oversee the Special Education Department’s annual budget, including the processing of weekly, monthly, quarterly, and year-end reconciliations. Collaborate closely with Special Education Administrators, Department Chairs, and District Business Office personnel to fulfill this responsibility.
- Create and maintain advanced or custom reports as needed to carry out daily bookkeeping and budget oversight functions.
- Provide technical and analytical support to the department’s administrative staff regarding Special Education budgets, accounts, and reports, aiding in effective use of the District’s financial and accounting system.
- Monitor the Special Education budget to ensure compliance with allowable expenses and assist during annual audits.
- Manage the processing and tracking of all special education purchasing transactions at both the District and specific building or program levels.
- Maintain and distribute official Special Education resource allocations across various district departments, including Human Resources and Payroll, in accordance with approved program budgets and staffing assignment details such as location, Full-Time Equivalent (FTE), and account number requirements.
- Assign and verify appropriate account numbers for payroll timesheets.
- Oversee the securing and payment of contracted special education services in line with program requirements, which may include interpreters, nursing staff, and other consultants.
- Assist the Executive Director, Assistant Directors, and Supervisors as needed.
- Perform additional tasks as assigned by the Executive Director of Special Education.
Terms of Employment:
- This is a 12-month position comprising 8 hours of work per day.
- Salary and benefits are provided in accordance with the Rochester Support Personnel Association master agreement for Classification III.
Working Conditions:
- This position necessitates sitting for extended periods and performing tasks on a desktop computer.
- A significant portion of the duties involves data entry and record searches, requiring repetitive hand motions.
Required Position Tests:
Candidates must demonstrate proficiency in the current District version of Microsoft Office, including intermediate-level Word and Excel, and basic-level PowerPoint and Outlook. Assessments will also evaluate customer service phone skills, interpersonal/teamwork office skills, sentence clarity, spelling, and alpha/numeric/record locator skills. A position-specific test for Senior Bookkeeper will also be administered.
