Job description:
Under the supervision of the Records Supervisor, this role involves the review, interpretation, and processing of new and amended orders. Responsibilities include adjusting accounts, scheduling future account modifications, and determining charging rates as specified by the orders. The position requires the creation and updating of computer files, as well as the entry of new cases into the Michigan Child Support Enforcement System. The incumbent will also be responsible for adjusting accounts and corresponding with clients regarding any changes. Additional duties include answering departmental phone calls and providing backup support to both the Front Desk Receptionist and Cashier.
Essential Functions:
- Review, interpret, and process new and amended orders.
- Create and update electronic data files, which encompass the establishment and adjustment of current balances, charging rates, direct pay credits, payment prioritization, and action dates for future actions necessary on accounts.
- Communicate adjustments to clients both verbally and in writing, addressing inquiries regarding changes to their accounts.
- Respond to departmental phone calls, managing inquiries related to office policies, payment location options, staff availability, scheduling, office hours, and associated matters. Conduct computer look-ups to gather information necessary for resolving client inquiries, and transfer calls to the appropriate staff or department as needed.
- Process incoming departmental emails and faxes by reviewing documents, indexing court orders, motions, objections, and client correspondence into the virtual filing system, while responding to general inquiries or forwarding them to appropriate staff members.
- Enter new cases obtained from the Court Clerk’s Office and Prosecuting Attorney’s Office into the computer system, and mail new client packets containing account information and relevant documentation.
- Halt child support on inactive cases, make necessary account adjustments, and communicate the status of the case to clients in writing.
- Reactivate cases as necessary, which includes reestablishing child support and reimbursement, implementing account adjustments, and notifying clients of case status and payment amounts.
- Respond to inquiries from Child Protective Services in coordination with the Department of Health and Human Services.
- Process outgoing postal mail on an as-needed basis.
- Serve as a backup for the Front Desk Receptionist, which includes greeting visitors, checking in clients for conferences/hearings, addressing general inquiries, and responding to requests for payment histories, forms/motion packets, time-stamping documents, and additional information.
- Provide backup support to the Cashier as necessary, which includes receiving payments, issuing receipts, verifying client information and docket numbers, addressing questions regarding balances owed, balancing cash batches, calculating daily deposits, and adhering to cash control policies and procedures.
- Participate in various training sessions as mandated by Ingham County/Circuit Court/FOC and the Office of Child Support.
- Maintain strict adherence to OCS/IRS confidentiality regulations.
- Assist in updating FOC training manuals and in the training of new and existing employees.

Employment Qualifications:
