The Assistant Community Manager plays a vital role in our operations, responsible for welcoming prospective residents, processing applications, managing leases and renewals, overseeing rent collections and evictions, and enhancing resident satisfaction and property visibility through effective communication and social media engagement.
Responsibilities:
- Professionally greet and qualify prospects utilizing guest cards in our Lead Management Software. Assist with applications and deposits, ensuring compliance with company procedures and Fair Housing regulations.
- Maintain an updated availability report and process applications, including conducting credit checks and rental history verification. Submit applications for the Community Manager’s approval and provide follow-ups to applicants.
- Conduct apartment showings, facilitate sales closure, prepare units for move-ins, obtain required signatures from new residents, and deliver community orientations.
- Oversee lease renewals, issue renewal notices, manage move-out processes according to lease terms, apply fees when necessary, and keep property management software accurate and updated with move-in/out and renewal details.
- Manage rent collections and enforce lease agreements, track fees, and initiate eviction proceedings as necessary to ensure financial compliance and optimize revenue.
- Foster resident satisfaction and retention by proactively addressing complaints, inquiries, and requests, taking appropriate actions to resolve service issues.
- Follow eviction protocols, including notice requirements, court representation, and facilitating proceedings as needed.
- Conduct market research by evaluating competing properties, implementing outreach marketing strategies, and updating relevant systems as necessary.
- Assist in maintaining a vibrant social media presence for the property, enhancing visibility and community engagement.
Complete all necessary documentation for generating leases, move-ins, check-outs, and other peak periods in a timely manner.
Qualifications:
- Education: High school diploma or GED; or 1-3 months of relevant experience or a combination of education and experience.
- A minimum of one year in customer service or apartment leasing is required; experience in accounting alongside customer service is preferred.
- Proficiency in Microsoft Office Suite and Project Management tools.
- A valid driver’s license is required.
Physical Requirements:
- Ability to sit for prolonged periods while performing desk work.
- Capability to climb stairs and navigate various physical environments.
- Must possess the ability to read documents and data presented on screens.
- Ability to hear and comprehend verbal communications in person and via phone or computer.
