We are excited to announce an opportunity for a Business Assistant to join the front desk team at Keith Cohrs, DDS PC in Portage. About Our Office:

  • Conveniently located on Cooley Dr in Portage, just down from Harding’s on Centre Ave
  • Work schedule: Monday to Thursday, with hours from 7:30 AM to 5:00 PM (Mon-Wed) and 7:00 AM to 5:00 PM (Tues/Thurs)

Responsibilities:

  • Welcome patients upon arrival, ensuring a positive initial impression of our team
  • Oversee front office tasks, including managing phone calls, checking mail and email, and communicating effectively with patients and insurance companies
  • Utilize Dentrix for efficient patient scheduling and record-keeping
  • Schedule and confirm appointments for multiple practitioners within the office
  • File patient insurance claims while following up on outstanding claims, verifying benefits, and explaining coverage
  • Process insurance and patient payments, managing accounts receivable
  • Discuss treatment plan fees and payment options with patients
  • Collaborate with providers and team members to implement Heartland Dental systems, optimizing office operations

Qualifications:
Minimum Qualifications:

  • Proven experience in a fast-paced, customer-focused environment
  • Strong communication and organizational skills
  • Responsible for maintaining patient confidentiality; completion of regular HIPAA training is mandatory, ensuring the protection of PHI and data safeguards

Preferred Experience:

  • At least one year of experience in a dental or medical setting
  • A minimum of one year of experience in insurance billing and accounts receivable
  • Familiarity with Dentrix or similar dental software applications

Physical Requirements:

  • Ability to perform essential job functions satisfactorily, with or without reasonable accommodations
  • Prolonged periods of sitting at a desk and working on a computer
  • Capability to lift up to 15 pounds occasionally
  • Willingness to attend virtual training sessions (or in-person) throughout the year
  • Compliance with our commitment to a safe working environment, including a mandatory tuberculosis (TB) test, arranged during the pre-employment process (not applicable in the states of Florida and Tennessee)
