Job description:

Join our dynamic Catering department as an Event Coordinator, where you will oversee a diverse range of catered events in collaboration with prestigious organizations such as the Foundation, Susan G. Komen, and the American Cancer Society, among others. In this role, you will proactively anticipate project needs, prioritize tasks effectively, and meet deadlines with minimal supervision, demonstrating flexibility to accommodate occasional evenings and weekends.

Your responsibilities will encompass all facets of special event management, ensuring the delivery of exceptional customer service characterized by enthusiasm and professionalism. You will be instrumental in building and nurturing strong relationships with both internal and external clients, showcasing a passion for our service line and a steadfast commitment to excellence.

Essential Functions:

  • Facilitate negotiations for space contracts, reserve event venues, and coordinate catering, supplies, and audiovisual equipment. Manage travel arrangements, order event signage, and ensure the appropriate décor, including floral arrangements, linens, and color schemes.
  • Conduct thorough research, perform site visits, and identify resources to assist staff in evaluating event possibilities. Generate and refine room layouts for each event and serve as the primary liaison with vendors regarding event-related matters. Oversee on-site production and cleanup as necessary. Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, and complete all required closures for events.
  • Assist in budget preparation and provide regular progress reports to staff directors on each event project. Track event finances, including check requests, invoicing, and reporting. Coordinate appointments for space tours and manage event scheduling on the calendar. Draft and modify event contracts as needed.
  • Manage and communicate the overall calendar of events.

Qualifications:

Required:

  • Bachelor’s Degree or equivalent in Communications, Marketing, Hospitality Management, or a related field.
  • A minimum of 2 years of relevant experience in office administrative management or in a similar work environment with transferable skills.
  • At least 2 years of experience in coordinating special events or event planning.

Preferred:

  • Experience in coordinating events with an attendance of up to 1,000 participants.
  • Proficiency in the Microsoft Office suite.
  • Familiarity with CaterTrax software.
