PREVIOUS EXPEIRENCE REQUIRED.The Executive Assistant (EA) position is designed to proactively manage daily administrative and office management responsibilities, enabling the CEO and Senior Leadership Team to concentrate on strategic priorities and productive meetings. The EA must be adaptable to the varying needs of different executives, supporting leadership, decision-making, and overall productivity in a proactive and strategic manner. The ideal candidate will be highly energized, results-oriented, focused on productivity and consistently model the values and behaviors expected within our culture.This multi-faceted role involves streamlining administrative duties, managing schedules, solving problems, and facilitating effective communication across the company. This position requires a high level of discretion and professionalism, as the EA routinely handles confidential information and assists in critical decision-making processes.Duties & Responsibilities

  • CALENDAR & MEETING MANAGEMENT: Manage and organize calendars to optimize SLT time. coordinate meetings, prepare agenda, documents, presentations, take minutes & follow up.
  • COMMUNICATION MANAGEMENT: Prepare and edit correspondence, communications, presentations, and other communications to ensure clear and effective messaging.
  • INFORMATION MANAGEMENT: Research and gather information for informed decision-making. Maintain organized and up-to-date files and ensure critical information is easily accessible. Always retain confidentiality of sensitive information.
  • PROBLEM SOLVING: Handle administrative challenges on behalf of SLT, navigate complexities, contribute to the smooth operation of daily activities. This includes proactively anticipating needs and addressing issues before they escalate.
  • EVENT PLANNING: Organize and coordinate events and special functions. This involves managing logistical details, coordinating with vendors, and overseeing event execution.
  • TRAVEL & EXPENSE MANAGEMENT: Secure efficient travel arrangements based on SLT preferences and costs within budgetary guidelines. Prepare accurate and detailed expense reports with meticulous record-keeping and ensuring that expenditures align with budgetary constraints.
  • OFFICE MANAGER RESPONSIBILITIES: Office Supplies, Printer/Copiers, office and desk location support, manage furniture and office decor placement

Qualifications

  • Confirmed experience as an Executive Assistant or similar role
  • Experienced presentation builder in power point
  • Strong organizational, planning and time management abilities
  • Great attention to detail and a proactive thought process
  • Exceptional written and verbal communication and interpersonal skills
  • Tech savvy and proficient in MS Office, particularly Word, Excel, and PowerPoint
  • Project Management experience a plus
  • Ability to multitask and prioritize workload
  • High level of professionalism, discretion and confidentiality
