Job description:
Executive Administrator responsibilities encompass a variety of critical functions, including project management, administrative support, and the coordination and planning of conferences and industry-specific board/executive meetings. The role also entails the analytical review of company reports and data sets, as well as additional administrative responsibilities.
ESSENTIAL FUNCTIONS:
- Provide comprehensive support for the executive management team, including but not limited to:
- Managing projects such as remodeling, relocations, and strategic transitions.
- Preparing letters, correspondence, reports, memos, meeting minutes, and presentations.
- Coordinating business travel arrangements for executive management.
- Maintaining and scheduling executive management calendars.
- Greeting guests and managing telephone communications efficiently.
- Accurately recording and forwarding verbal or written messages.
- Anticipating catering needs and coordinating orders.
- Serving as a reliable backup for the Senior Executive Administrator and Executive Administrator – Finance.
- Planning, coordinating, and executing seminars, meetings, and conferences, including distributing relevant materials for agency staff as needed.
- Organizing and directing virtual meetings on various platforms.
- Collaborating with the Senior Executive Administrator on special event planning, such as holiday dinners and Board of Directors meetings.
- Participating in merger and acquisition planning, including pro-forma input, due diligence team coordination, and post-transition onboarding.
- Working with stakeholders on the preparation and analysis of Key Performance Indicator (KPI) reports.
- Interacting with the public, customers, and companies to prevent potential errors or omissions.
- Engaging in seminars and training for personal and professional development.
- Completing special projects related to Corporate/Executive areas as assigned.
- Adapting to telecommuting opportunities as determined by location, department, and business needs, with details provided by each manager.
