Human Resources Assistant (Part-time)
Starting at $22.25 – $27.50/hour
Salary negotiable (within range) – based on qualifications
The Human Resources Department is dedicated to developing, implementing, and maintaining programs and processes that enhance the City of Troy and our workplace. Our aim is to improve employee welfare, empowerment, growth, and retention, thereby solidifying the City of Troy as an employer of choice. The department’s responsibilities include recruiting and hiring employees, administering benefits and wellness programs, overseeing performance management, compensation plans, labor negotiations, and ensuring personnel-related compliance.
DUTIES
- Provide clerical support to the department, including answering phones, greeting guests, filing, and updating contracts.
- Assist in coordinating and conducting background checks for the department.
- Support the hiring and onboarding processes by creating employee ID badges, collecting and reviewing required documentation, and maintaining accurate records.
- Collaborate with Human Resources staff on long-term, short-term, and ongoing departmental projects.
- Participate in recruitment efforts by scheduling interviews, communicating with applicants, and preparing interview materials.
- Collect relevant information, summarize data, and generate reports as needed.
- Develop and utilize templates to ensure document consistency.
- Organize both paper and electronic files, create digital records by scanning documents, and review documentation for accuracy and consistency.
- Perform data entry and verify the accuracy of entered information.
- Manage the department’s mail by collecting, sending, and sorting correspondence.
- Uphold the highest standards of confidentiality while handling sensitive information.
- Explain rules, regulations, and procedures to applicants and employees.
- Assist in event planning and coordination as required.
- Support the procurement of supplies and other items for the department.
- Track and maintain records of ordering information and invoices.
- Serve as backup for processing and reconciling invoices when necessary.
- Help update and format documents as needed.
- Perform additional duties as assigned.
REQUIREMENTS
- Associate Degree (or 60 credit hours toward a Bachelor’s Degree) in Human Resources, Public or Business Administration, or a related field from an accredited institution.
- A minimum of two years of recent, relevant experience in human resources or a similar office setting, with a focus on maintaining confidential records and recruitment.
- Equivalent combinations of training and experience may also be considered.
- Knowledge of laws related to recruitment and selection of job candidates.
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
- Demonstrated ability to successfully organize and coordinate multiple projects simultaneously.
- A valid Michigan driver’s license and a good driving record, in accordance with City of Troy standards.
- The successful candidate must pass a background check and pre-employment physical, including a drug screening (marijuana included).
PREFERENCES
- Bachelor’s Degree in Human Resources, Public or Business Administration, or a related field.
- Experience with applicant tracking or online application software (such as ApplicantPro or similar).
- Recent experience in human resources within a municipality, public employer, or non-profit entity.
- Familiarity with human resources information systems (e.g., Tyler New World Systems logos.net or similar).
HOURS
- Part-time, year-round, variable hours ranging from 12 to 28 per week.
- Monday to Friday; some flexibility in workdays and hours between 8:00 A.M. and 4:30 P.M.
- The preferred schedule is Monday through Friday, from 8:00 A.M. to 2:00 P.M. or 2:30 P.M.
