Job description:

Court Services Specialists (CSS) are responsible for performing a variety of essential clerical tasks necessary for the efficient operation of the Muskegon County Family Court, Friend of the Court, and Probate Court. Assignments may vary based on the specific needs of the courts and may encompass a range of duties, as outlined below:

Casework:

  • Initiate child support enforcement options.
  • Establish, audit, and modify accounts within the Michigan Child Support Enforcement System (MiCSES) to monitor compliance with court orders.
  • Carry out clerical tasks across various court computer systems.
  • Assist parties during intake through phone calls, meetings, and electronic communications related to enforcement of child support, parenting time, and custody matters.
  • Process various administrative forms.

Imaging:

  • Update files and documentation according to their respective case numbers and document types.
  • Transfer files to inactive storage or facilitate destruction according to record retention schedules.
  • Scan court files, ensuring accurate data entry and identifying any missing records.
  • Distribute court correspondence to involved parties.
  • Conduct daily mail runs.

Juvenile Clerk:

  • Process, prepare, and distribute all court correspondence for neglect and abuse, as well as juvenile delinquency cases.
  • Enter data into various court systems.
  • Prepare case files for referees.
  • Manage adoption cases and related paperwork.
  • Attend court hearings as required.

Front Desk:

  • Handle incoming phone calls, accept documents for filing, and provide assistance regarding Family Court matters.
  • Check clients in for hearings and appointments.
  • Assemble and process personal protection order documentation.
  • Perform general clerical tasks within court computer systems.
  • Inform parties about Family Court processes and procedures.

Order Entry:

Required Minimum Entrance Qualifications:

  • A Bachelor’s degree from an accredited college or university; OR
  • An Associate’s degree from an accredited college or university combined with a minimum of one (1) year of full-time, progressively responsible paid work experience in an office setting; OR
  • A high school diploma or successful completion of the General Education Development (GED) test, paired with a minimum of three (3) years of full-time increasingly responsible paid work experience in an office setting.

Physical Activities:

Environmental Conditions:

Additional Information:
Selected candidates will be required to complete a post-offer medical examination (including a back screen and complete physical) and a drug screening conducted by a County-appointed physician prior to their first day of employment. The offer of employment is contingent upon the outcomes of the medical examination and drug screening. Applicants may also be subject to a post-offer criminal background check based on the position’s nature and responsibilities. Successful completion of a probationary period is required before the appointment is rendered permanent.
