Position Summary:
The Public Safety Technician/Administrative Support role is pivotal in receiving, evaluating, and directing all incoming requests within the Public Safety Department. This position ensures timely communication of emergency messages and provides essential administrative support to the Chief of Public Safety, departmental staff, and Campus Resource Officers.
Essential Job Duties and Responsibilities:
– Provide comprehensive administrative, secretarial, and technical support to the Public Safety Department, including front desk reception, financial processing, department assessment reporting, and institutional support, reporting directly to the Chief or Deputy Chief.
– Adhere to established front desk and departmental procedures, consistently delivering exceptional customer service in-person, online, and over the phone.
– Process, maintain, and document access control requests, including key, fob, and proxy card requests, ensuring accurate record-keeping and timely issuance to authorized college staff.
– Photograph and issue employee ID cards as requested.
– Disseminate monthly medical, student-related, crash, and accident reports to designated stakeholders.
– Prepare and distribute annual Clery Act letters to external police agencies for crime statistics reporting.
– Compile documents and reports, coordinate information, and develop and maintain databases for various departmental activities, such as Daily Activity Logs and monthly Fire Extinguisher Checks Logs.
– Maintain all records and files, including confidential correspondence with staff and faculty.
– Serve as the network operator, ensuring accurate maintenance of training records in the Michigan Training Network for law enforcement personnel.
– Utilize the CLEMIS system to gather relevant information and data.
– Act as the primary contact for customers entering the Department of Public Safety building.
– Receive, document, and relay information via telephone and radio communications.
– Assist with the management of office budget, initiating and tracking all procurement-related purchase requisitions, including P-Card transactions.
– Implement administrative decisions and policies as directed.
– Gather and process essential information for the Clery Act Public Crime Log daily and maintain the monthly crime log on the website.
– Maintain records pertaining to the enforcement of campus parking regulations.
– Collaborate with the Chief to manage staff training materials and evaluations.
– Support the Chief and Deputy Chief in budget management.
– Complete required training in Adult First Aid/CPR/AED, Prevention of Opioid Overdose Certification, and MCOLES Information and Tracking Network operator training.
– Regular attendance on campus is essential for this role.
– Other related duties as assigned.
Related Duties:
– Serve as a backup dispatcher during short-term situations, such as breaks or emergencies.
– Coordinate travel arrangements for all Public Safety staff and process related requisitions.
– Order and manage supplies, materials, and publications as necessary.
– Assist the Chief/Deputy Chief with special projects as required.
– Perform additional duties as directed by the Chief/Deputy Chief.
Hours/Schedule:
Monday – Friday, 8 a.m. – 5 p.m., with some variations. Availability to respond to campus during emergencies outside of regular hours may be required.
Minimum Qualifications:
– High school diploma or GED equivalent, with three years of relevant work experience and 24 college credit hours in related coursework, or an equivalent combination of education and experience.
– Intermediate proficiency in Microsoft Office applications, including Word, Excel, Access, and PowerPoint, as well as strong letter composition skills.
– Keyboarding proficiency at 65 words per minute.
– Ability to pass a background check and be fingerprinted.
– Excellent note-taking skills with 90% accuracy.
– Strong proficiency in spelling, basic mathematics, filing, proofreading, data entry, and telephone etiquette.
– Exceptional interpersonal communication skills for effective interaction with the public and college personnel.
– Adaptability to learn and utilize college programs and software, including all CLEMIS system applications.
– Competence in interviewing individuals requesting services to gather relevant information effectively.
– Capacity to handle confidential information discreetly in compliance with legal and college policies.
– Ability to work independently with minimal supervision in a fast-paced environment.
– Strong organizational skills to prioritize tasks both independently and within a team setting.
– Demonstrated good judgment, resourcefulness, initiative in problem-solving, and meticulous attention to detail while providing outstanding customer service.
