Job description:

Provides comprehensive administrative and clerical support to the business management team, ensuring the coordination and maintenance of efficient office operations. Acts as a primary point of contact for employees, customers, and visitors to the facility. Offers assistance to the HR department in various functions, including recruitment, onboarding, and other general HR-related tasks. Contributes to sales and marketing initiatives as necessary, including managing the company’s social media platforms.

Core Responsibilities:

General Office Support & Administration (60%)

  • Greet and engage with visitors, customers, employees, and other stakeholders to provide information and address inquiries.
  • Answer phone calls, direct inquiries, and take messages as needed.
  • Compile, copy, sort, and file records pertaining to office activities, business transactions, and other operational functions.
  • Operate various office machines including photocopiers, scanners, and personal computers.
  • Accurately compute, record, and proofread data and information, such as reports and records.
  • Manage incoming mail by opening, sorting, and routing correspondence, while also preparing outgoing mail.
  • Review documents and records to gather information for responding to requests.
  • Monitor inventory levels and facilitate the ordering of office supplies.
  • Type, format, proofread, and edit correspondence as required.
  • Provide support to the organization’s executives.

HR Administration (30%)

  • Assist in the screening of applicants and support the complete recruitment cycle, including onboarding and offboarding processes.
  • Prepare and maintain New Hire Packets.
  • Offer clerical and administrative support to the Human Resources Manager.
  • Compile and update employee records utilizing HRIS software.
  • Ensure confidentiality in handling sensitive information.

Marketing (10%)

  • Generate content that promotes SnackCraft through blogs, the company website, and social media channels.
  • Maintain and manage social media platforms to highlight employee achievements and services.
  • Assist in the coordination of employee communications and events.
  • Perform other duties as assigned.

Qualifications:

  • Demonstrated organizational skills with the ability to prioritize tasks and meet deadlines.
  • Familiarity with HR software and office equipment, including printers and telephones.
