Prism Specialties, a prominent disaster restoration company based in Livonia, Michigan, is actively seeking an Accounting Administrative Assistant to contribute to our team. Reporting directly to the Controller, the Accounting Administrative Assistant will engage in a variety of clerical and accounting tasks, ensuring efficient communication and workflow among staff. This position also requires travel, as the individual will coordinate job activities at various customer locations, with assignments typically lasting between one to three weeks and often requiring short-notice deployment. Expect to travel over 50% of the year.

Key Responsibilities:
- Research and arrange travel logistics, including flights, accommodations, and transportation.
- Maintain daily log sheets for labor, equipment, and material usage.
- Input usage information for accurate invoice generation.
- Coordinate with external service providers to ensure all expectations and deadlines are met.
- Summarize daily communications from the Project Engineer and distribute accordingly.
- Organize meals at job sites or hotel locations.
- Engage professionally with adjusters, contractors, and customers.
- Respond promptly to service requests as needed.
- Assist in report generation.
- Utilize computers, the internet, mobile devices, and general office equipment effectively.
- Maintain accurate files and records.
- Process invoices and oversee payment collection.
- Track reports and sales data diligently.
- Compose professional correspondence with proper grammar and language.
- Provide after-hours assistance when necessary.
Requirements:
- A minimum of a two-year college degree.
- At least two years of experience in an accounting assistant role.
- A minimum of two years in an administrative support capacity.
- Proficiency in QuickBooks Desktop.
- A solid understanding of accounting principles.
- Flexibility to accommodate a 50% travel requirement on short notice.
- High proficiency in Excel and Microsoft Office applications.
- Typing speed of at least 50 words per minute.
- Ability to perform well under pressure and meet immediate deadlines.
