Job description:
The Administrative Assistant plays a vital role in ensuring the seamless flow of information between the plant and the Corporate Office by supporting all necessary office functions.
Essential Duties and Responsibilities:
This job description does not limit management’s authority to assign or reassign duties and responsibilities at any time.
– Answer incoming phone calls and take messages as needed.
– Assist in drafting correspondence, as well as in faxing and copying documents.
– Input daily receipts for incoming raw materials using Excel and the AS400 system.
– Implement and print daily and weekly reports for the plant, which include grease routing, raw materials, fleet management, and sales.
– Manage accounts payable, including inputting information, setting up vendors, and addressing A/P inquiries.
– Distribute incoming mail and oversee outgoing correspondence.
– Maintain the sign-in sheet and monitor office traffic.
– Demonstrate proficiency in MS Office and Google Docs.
– Provide excellent customer service.
– Perform additional duties as assigned by management.
Minimum Qualifications:
– A high school diploma or GED is required.
– Proven experience using Microsoft Office applications (Word, Excel) is essential.
Preferred Qualifications:
– An Associate’s Degree is preferred.
– Previous office experience with knowledge of fax, copier, printer, projector, and scanner operations.
– Proficient typing skills and comfort using computers are necessary.
– Clear communication skills in both verbal and written formats.
– Exceptional organizational skills and time management capabilities.
– Strong mathematical skills.
– Ability to manage multiple tasks simultaneously.
Physical Demands:
– The role frequently requires walking, standing, sitting, climbing, balancing, stooping, bending, and kneeling.
– Ability to lift up to 10 lbs on a regular basis.
– Extended periods may be spent sitting at a desk in front of a computer screen.
– Frequent reaching with hands and arms is required.
Work Environment:
