Job description:
The Administrative Assistant/Associate will provide essential administrative and operational support to further the strategic objectives of the Over Zero project. Collaborating closely with the Ohio State Director, this role is integral to resource management, meeting organization, and the execution of high-level convenings. This position is currently structured as a part-time role, averaging 20 hours per week.
Responsibilities and Tasks:
The Administrative Assistant/Associate will engage with the Ohio State Director and the Resilience States Project team in the following areas:

Relationship Management:
- Assist the Ohio State Director, Director of Place-Based Programs, and Programs Manager in fostering and maintaining relationships with network participants and in-state partners. This includes:
- Supporting partner communications, including invitations, updates, and newsletters.
- Facilitating communication and event logistics for Friends of Over Zero (FOOZ).
- Coordinating meetings and scheduling activities.
- Tracking and documenting requests from network members.
- Organizing and maintaining notes, calendars, and various trackers to monitor engagement with network members.
- Attend and take notes during selected meetings as appropriate.

Assist the Ohio State Director with the recruitment of new network members.
- Program Support:
- In collaboration with the broader Over Zero team, coordinate rapid response efforts in Ohio to mitigate the effects of political violence. This includes:
- Compiling and disseminating resources for rapid response.
- Tracking rapid response requests and the support provided.
- Coordinating necessary support for Over Zero staff.
- Assisting the Ohio State Director in progressing projects initiated by program participants, including addressing logistical and programmatic needs, such as contracts, payments, and compliance.
- Ensuring that in-person programming components are effectively organized and executed in partnership with the Programs Manager (including surveys, contracts, catering orders, travel, etc.).
- Collaboratively developing, maintaining, and adjusting work plans and timelines to meet network goals with the Ohio State Director.
- Managing impact tracking for state-level and local activities.
All employees of Hopewell Fund are required to complete timesheets.
Education, Experience, Knowledge, Skills, and Abilities:
The ideal candidate will possess the following qualifications:
- A minimum of 2 years of administrative experience.
- Experience in operations, project management, event planning, or hospitality.
- A genuine interest in effecting positive change through investing in local leadership and fostering resilience against political and identity-based violence.
- A client-service mindset with a collaborative team-oriented approach.
- Strong attention to detail coupled with exceptional time management skills.
- A high school diploma or equivalent.
- Willingness to travel within Ohio as needed, and occasionally nationally.
- Access to a stable internet connection to fulfill job responsibilities.

Compensation and Benefits:
The starting salary range for this position is $28,000 to $30,000 per year (at 20 hours per week), commensurate with experience and in alignment with internal equity. Our comprehensive benefits package includes:
