We are currently seeking an Administrative Associate II for our Abbott Nutrition team in Columbus, OH. This role requires onsite presence at our Easton Town Center office five days a week.
Summary of Responsibilities:
The incumbent will manage various administrative functions within the department, including:
- Handling phone inquiries, managing the executive calendar, scheduling travel, and overseeing correspondence.
- Coordinating courier services and processing expense reports.
- Organizing meetings and events, creating or modifying business documents, and preparing presentations using source materials.
- Facilitating teleconferences and media setups and serving as a liaison for remote access issues.
- Supporting the tracking of departmental budget expenditures as needed.
- Creating board books upon request.
- Maintaining departmental files in accordance with corporate and government regulations.
- Adhering to purchasing and requisition procedures, as well as Corporate Security and Privacy Rules.
- Utilizing advanced software skills, particularly Microsoft Office Suite and other business-specific applications.
- Coordinating new employee office setups and onboarding processes.
- Potentially training and coordinating work for new administrative assistants.
Accountability and Scope:
- Regular interaction with high-level executives, requiring advanced understanding of business processes.
- Management of confidential information and executive calendars, including travel arrangements.
- Proactive identification and resolution of scheduling conflicts, serving as the primary contact for the manager’s schedule.

Qualifications:
- In-depth knowledge of applicable regulatory standards and requirements related to infant formula and nutritional products.
- A minimum of 7 years of previous administrative experience or equivalent.
- Ability to operate independently and demonstrate initiative.
- Advanced proficiency in Microsoft Office Suite, Adobe Acrobat, Visio, OrgPlus, and Lotus Notes or Outlook.
- High School diploma required; an Associate’s Degree in Secretarial Science is preferred.
