Job description:
The Assistant Account Manager is responsible for supporting the Account Manager or Senior Account Manager in customer interactions, order preparation for production, and other clerical tasks.
Key Responsibilities:
– Accurately enter orders with comprehensive job specifications into the core business system.
– Prepare and manage shipping and mailing instructions.
– Process and route proofs and materials provided by customers.
– Assist with the processing of change orders.
– Compile information for the Account Manager or Senior Account Manager.
– Help create and maintain customer standing instructions and profiles.
– Support in entering specifications for estimating purposes.
– Manage incoming phone calls and emails, aiming to address customer inquiries directly rather than merely relaying messages.
– Assist in handling and resolving customer complaints.
– Maintain an organized and up-to-date filing system for sample books/issues and master job files.
– Proactively assist other teams as needed or during periods of low workload.
– Provide coverage for the Account Manager’s desk and manage their responsibilities during absences.
– Perform additional duties as assigned, including miscellaneous errands and special projects requested by Account Managers or Senior Account Managers.
Basic Qualifications:
– A minimum of a high school diploma or GED along with relevant customer service experience. Exceptional verbal and written communication skills are required.
– Strong organizational skills and meticulous attention to detail.
– Effective analytical and problem-solving abilities.
– Demonstrated ability to act with integrity, professionalism, and confidentiality.
– A willingness and ability to learn various computer software applications, including order entry and job ticket systems.
– Proficiency in Microsoft Office Suite or related software.
Desired Skills and Abilities:
– An Associate’s degree (A.A.) or equivalent from a two-year college or technical school, or six months to one year of related experience and/or training, or an equivalent combination of education and experience is preferred.
– Familiarity with the Technique Operating System is a plus.
Physical Requirements:
– Must be able to sit for extended periods at a desk and work on a computer.
– Capability to lift up to 15 pounds as needed.
– Ability to access and navigate various departments within the organization’s facilities.
Travel Requirements:
– Minimal travel may be required for seminars, company meetings, etc., and may occasionally involve an overnight stay.
