Job description:
The Administrative Assistant I provides essential administrative support within a dynamic office setting. The ideal candidate will possess a comprehensive understanding of general office procedures, along with strong communication and problem-solving skills, to effectively deliver a range of administrative services.
Key Responsibilities:
- Schedule and plan meetings, respond to phone inquiries, and manage walk-in visits.
- Coordinate travel arrangements and manage logistical details for events and meetings.
- Maintain calendars and assist with typing and proofreading documents produced by others.
- Create, maintain, and analyze data for standard reports, charts, graphs, spreadsheets, and databases, while handling phone calls, messages, and inquiries efficiently.
- Greet visitors and provide routine information as requested.
- Place orders for office supplies and equipment as needed.
- Submit helpdesk tickets for repairs and technical support issues.
- Monitor and update inventory, budget, and account records.
- Handle confidential information with discretion and manage sensitive matters appropriately.
- Provide support to individual managers or at the departmental level as required.
- Resolve routine problems and communications following established procedures, referring more complex issues as necessary.
- Assist in event planning on a departmental scale.
- Perform general office tasks, which may involve manual dexterity and coordination for paperwork, computer operations, filing, and calculations.
Qualifications:
- High School diploma or equivalent preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is preferred.
- Familiarity with computer applications relevant to word processing, data entry, and internet research is preferred.
- A solid understanding of office administrative practices and procedures is required.
- Excellent verbal and written communication skills, along with strong interpersonal abilities, are essential.
