The Office of the Chief Financial Officer – Department of Financial Services Public Infrastructure division is inviting applications for the position of Administrative Assistant II.

Position Summary: The Administrative Assistant II serves as an intermediate-level paraprofessional within the City of Detroit Office of the Chief Financial Officer, requiring close direction and supervision. This role encompasses a wide array of clerical and administrative support activities, including, but not limited to: sorting and routing mail; acting as a liaison between management and staff, other departments, and external agencies; scheduling and maintaining the appointment calendar for superiors; and providing guidance to staff regarding procedures, practices, and policies.

Examples of Duties:
– Provide support to department managers, directors, or other related management staff.
– Greet visitors and callers, addressing their inquiries or directing them to the appropriate personnel.
– Sort, open, and distribute incoming mail to staff.
– Make copies of correspondence and other printed materials as needed.
– Answer telephone calls, providing information, taking messages, or transferring calls to the relevant individuals.
– Coordinate conferences, meetings, and special events, including travel reservations for personnel.
– Maintain scheduling and event calendars for staff.
– Locate and compile documents for briefings and conferences.
– Assist staff by providing information regarding division procedures, practices, and policies.
– Review documents, forms, applications, and other materials for accuracy and completeness.
– Draft non-technical correspondence, such as acknowledgment letters, in accordance with provided formats.
– Operate electronic mail systems and manage the flow of information both internally and externally.
– Utilize office equipment, such as fax machines and copiers, ensuring they are operational and arranging repairs as necessary.
– Employ computers for various applications, including database management and word processing.
– Establish and manage both paper and electronic filing systems, maintaining documents such as attendance records and correspondence.
– Compose, type, and distribute meeting notes, correspondence, and reports.
– Prepare materials for supervisors’ use in public speaking engagements.
– Manage and coordinate the reception activities of goods and services, ensuring proper documentation and accountability.
– Organize travel arrangements for the ODFS team, paying close attention to detail, organization, and communication.
– Accurately enter staff time and attendance in the Ultipro system, ensuring necessary approvals are obtained for time-off requests.
– Undertake special projects and additional tasks as assigned.

Minimum Qualifications:

Education:
– Candidates must have completed high school or possess a General Educational Development (GED) certificate.

Experience:
– A minimum of one (1) year of administrative support experience is required, including proficiency in using personal computers for preparing correspondence, reports, and data management. Candidates must demonstrate proficiency in integrated word processing and spreadsheet software, which may be assessed through a written test.
– To qualify for the Administrative Assistant II level, candidates should have at least two (2) years of relevant experience.

Equivalency:
– Equivalent combinations of education and experience that provide the necessary knowledge, skills, and abilities will be assessed on an individual basis.
