Job description:

The Nursing Administrative Assistant plays a pivotal role in providing comprehensive administrative and organizational support to the Chief Nursing Officer (CNO) at Havenwyck Hospital, a Joint Commission-accredited psychiatric facility located in Auburn Hills, Michigan. We specialize in delivering compassionate behavioral health services to individuals across all age groups, with the ultimate aim of fostering strength, confidence, and self-awareness among our patients, enabling them to prioritize their ongoing self-care.

Position Summary:
The Administrative Assistant will maintain the calendar for nursing leadership, manage contact lists, and organize all necessary documentation and resources for appointments. Key responsibilities include:

  • Coordinating and scheduling appointments, meetings, and events, while proactively addressing potential barriers.
  • Exercising discretion and independent judgment in various significant matters.
  • Conducting follow-ups for meetings, preparing minutes, and assisting with filing and record-keeping.
  • Managing the workload of the CNO effectively, including travel arrangements and expense reports.
  • Serving as a resource for hospital procedures and maintaining strong working relationships with department managers, medical staff, and community professionals.
  • Composing and preparing correspondence, handling routine communications, and performing additional administrative functions as needed.
  • Leading unit secretary meetings and supporting the ACNO in managing unit secretary assignments, as well as communicating changes in nursing documentation.
  • Supervising and providing guidance to unit secretaries across all shifts to align with unit goals and ensure effective ongoing operations.
  • Organizing meetings and conference calls, preparing agendas, and maintaining distribution lists.
  • Assisting in the development of training materials and ensuring timely completion of tasks.
  • Conducting literature searches and cataloging resources for accessibility.
  • Facilitating departmental functions and staffing support when necessary.
  • Complying with all hospital policies and completing mandatory training as required.

Qualifications:

  • A Bachelor’s degree is preferred, but candidates with an Associate’s degree and a minimum of three years of administrative experience, or a high school diploma with at least ten years of relevant experience, will also be considered.
  • Demonstrated proficiency in customer service and independent problem-solving skills.
  • Experience in data gathering and analysis is essential.
  • Preferred experience in managing and implementing contracts.
  • Highly organized and detail-oriented with strong time management capabilities.
  • Proven ability to anticipate the needs of the CNO effectively.
  • Proficiency in Microsoft Office applications, particularly Word and Excel, along with exceptional writing skills.
