Job description:
Under the guidance of an executive within the classified service, this role is responsible for serving as a confidential secretary, performing a variety of administrative duties as required. The incumbent will manage communications, maintain schedules, and support organizational functions essential to the executive’s position.
Key responsibilities include:
– Answering incoming phone calls, providing information to callers, directing calls to the appropriate authority, or taking messages as necessary, ensuring that priority information is efficiently relayed to the executive.
– Scheduling appointments and maintaining the executive’s calendar, including locating and reserving suitable meeting and conference rooms.
– Taking, transcribing, and distributing verbatim minutes for meetings, boards, and hearings.
– Composing letters, office memoranda, and other correspondence for the executive’s review and signature.
– Utilizing various software applications to type letters, memos, legislation, contracts, and other documents.
– Reading, date-stamping, and routing incoming mail for the executive.
– Preparing statistical reports, confidential materials, and special data required for meetings and conferences.
– Assembling, collating, and copying comprehensive documents for presentations and various uses.
– Collecting and compiling information from diverse sources.
– Assisting with special projects aligned with the department’s mission.
– Maintaining a confidential filing system and handling sensitive material with discretion.
– Participating in committees and similar engagements as needed.
– Possibly tracking and verifying details regarding employee work schedules and time-off information.
Minimum Qualifications:
Candidates must possess five (5) years of experience in secretarial, clerical, or customer service roles. Educational achievement may substitute for experience on a year-for-year basis, with thirty (30) semester or forty-five (45) quarter credit hours equating to one (1) year of experience.
The examination process includes a noncompetitive qualifying exam. Successful applicants will have their names added to a new eligible list that supersedes existing candidates. To be considered for inclusion on this list, candidates must apply during the filing period and successfully complete all phases of the testing process, which encompasses a situational judgment test and a work simulation/computer skills exam, along with a typing proficiency test.
The exam is anticipated to occur in late January or early February, and approved applicants will receive notifications regarding their scheduled exam date and time via mail or email. All candidates must pass each portion of the testing to receive a final score. Those who pass will remain on the eligible list for two years unless altered.
Candidates certified for employment will undergo an interview process and will be subject to a criminal background check and pre-employment drug testing. The certification of candidates will be processed alphabetically.
