Job description:
The Administrative Specialist plays a crucial role in ensuring exceptional front-line communication with employees, clients, and vendors through a professional and effective approach. This position is dedicated to delivering outstanding customer service while performing various administrative responsibilities within the organization. Key functions include facilitating Ticketing Operations and coordinating M1 Concourse Car Club Memberships, as well as liaising with Garage Owners. The Administrative Specialist assists in the development of policies, procedures, and documentation as needed, and provides support for organizational events and productions. Collaboration with colleagues is essential to enhance the operational effectiveness and overall well-being of the organization. This role demands a representation of M1 Concourse with the utmost professionalism and decorum.

Key Responsibilities:
– Answer and direct incoming phone calls to the appropriate personnel.
– Provide assistance with M1 Signature Events, including mailings for M1 Momentum Magazine.
– Coordinate and organize training sessions as assigned.
– Maintain adequate inventory of office supplies to support seamless operational effectiveness.
– Contribute to the production of organizational policies and procedures as requested.
– Support bookkeeping tasks as assigned.
– Collaborate with other departments to align operational objectives with organizational expectations.
– Facilitate M1 Concourse Car Club Membership Management, managing communications, onboarding new members, delivering renewal notices, tracking membership engagement, and overseeing inquiries and reporting related to membership.
– Coordinate the administrative processing of requests and inquiries from senior and executive leadership.
– Assist with Ticketing and Registration Operations, including evaluating ticketing procedures, generating sales reports, ensuring compliance with system controls, preparing audits, and guiding ticketing staff during events.
– Greet and assist clients upon arrival in a courteous and professional manner.
– Manage the onboarding and offboarding processes for garage owners, including Access Cards, RFID Tags, and the Butterfly MX App.
– Exemplify professionalism in all representations of M1 Concourse.
– Perform additional duties as assigned and required.

Miscellaneous Requirements:
– Minimum of 1 year of experience as a Receptionist or Administrative Assistant.
– Knowledge of Office Management Systems and Procedures.
– Proficiency in operating office equipment such as printers and scanners.
– Expertise in Microsoft 365 Office applications, including Excel, Outlook, and PowerPoint.
