Job Summary:
The Building Services Assistant will play a vital role in ensuring the seamless operation of building services, including maintenance, janitorial, and security functions at our office location in Blue Ash, OH. This position entails coordinating various tasks, collaborating with clients, and providing necessary administrative support.
Days/Hours:
Monday through Thursday from 7:30 a.m. to 4:30 p.m. (32 hours per week)
Major Duties and Responsibilities:
- Facilitate conference room setups as requested.
- Act as a liaison between building owners and tenants, promptly addressing concerns or issues.
- Receive and dispatch building service requests and generate work orders as necessary.
- Process work orders effectively.
- Manage incoming mail, interoffice mail, and deliveries.
- Collaborate with security personnel to conduct daily, weekly, monthly, and yearly audits of temporary and vendor badges.
- Provide backup support for overflow tasks in other departments, including data entry, record organization, and filing as needed.
- Process badge access requests, if applicable.
- Maintain supplies necessary for the badging process, if applicable.
- Perform other related duties as assigned.
Qualifications:
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service abilities.
- Exceptional organizational skills with a keen attention to detail.
- Proven time management capabilities with the ability to meet deadlines.
- Proficiency in Microsoft Office applications, including Excel, Word, Outlook, OneDrive, and SharePoint.
- Ability to multitask and work effectively with all levels of staff.
Education:
- High school diploma or GED equivalent required.
Related Work Experience:
- Minimum of three years in an administrative support role.
Physical Requirements and Working Conditions:
- Ability to lift up to 50 pounds.
- Capability to walk throughout the building and navigate stairs.
- Ability to thrive in a fast-paced environment.
- Prolonged periods of sitting and working at the front desk, engaging with incoming visitors, and dispatching service requests.
