We are seeking to hire a Catering Coordinator immediately to oversee the intricacies of our catering operations at the Abercrombie & Fitch Global Home Office located at 6301 Fitch Path, New Albany, OH 43054. This position is full-time and generally follows a Monday through Friday schedule, with occasional weekend and evening requirements, as catered events take place between 7 AM and 8 PM.
The role encompasses the management of a complex comprised of three cafes and an extensive catering program. Operations run six days a week, offering dinner service from Monday through Thursday, with catering services provided across all cafes during operational hours. During peak retail seasons, specifically from November to December, we expand our operations to a full seven days to accommodate increased business activity, supporting a campus population of over 2,000 and employing more than 40 associates at peak times.
Key responsibilities include event planning, vendor partnership management, the creation of Banquet Event Orders (BEOs), event conceptualization, small wares management, inventory and ordering of catering products, menu development, and substantial client management. The events can range from business meetings to large-scale fundraisers for over 6,000 attendees.
Ideal candidates will possess strong computer skills and have prior experience in banquet event management, with familiarity in using CaterTrax being highly desirable. Effective selling skills, exceptional communication, and proficient client management capabilities are also essential.

As a Catering Coordinator, you will be responsible for various duties related to sales, marketing, administration, and coordination of both on- and off-premise catering events. This role requires meticulous attention to detail and the ability to multitask across multiple projects. You will be responsible for accurately disseminating essential information to all relevant departments, clients, and vendors.
Essential Duties and Responsibilities:
- Input and maintain reserves data for all events, including inquiries, tentative bookings, and confirmed details, while creating detailed function sheets outlining equipment needs and rental orders.
- Prepare captain’s packets for each event that include staff assignments, equipment lists, beverage orders, signage, and expo sheets, ensuring delivery to captains.
- Design buffet signage and printed menus as needed for events.
- Maintain organized event files, which include all correspondence, orders, invoices, payments, proposals, and function sheets.
- Process requests for certificates of insurance.
- Intake inquiries and gather pertinent event details, including client contact information, dates, times, formats, guest counts, and locations.
- Prepare event proposals and submit staffing requisitions.
- Assist with sales initiatives through research, marketing collaboration, and sourcing.
- Collaborate with the marketing team on promotional materials.
- Conduct client walkthroughs of venues and provide on-site representation during scheduled events.
- Handle all deposit transactions and review financial entries to ensure accuracy in forecasting, communicating with the accounting department as necessary.
- Prepare final invoicing and expense reports monthly.
- Assist in scheduling meetings, appointments, and travel as needed.
- Perform additional duties as assigned.
Qualifications:
- Prior experience in dining, catering, and/or event planning.
- Experience in restaurants, hotels, corporate dining, educational institutions, military, healthcare, or related food service operations is preferred.
- Flexibility in work schedule is essential, based on business needs.
- Strong communication, customer service, and organizational skills are required.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- A Bachelor’s degree in Hospitality or Marketing is preferred.
